Position Description:

As a Document Control Specialist supporting Capital Projects, you will be responsible for managing and maintaining controlled documentation across engineering and project teams. You will help build and improve structured document workflows using tools such as AODocs, ensuring proper version control, traceability, and compliance. The role involves working closely with engineers, designers, and external vendors to ensure documentation is accurate, standardized, and properly routed through approval processes.


Key responsibilities include:

  • Maintaining and managing controlled documents across multiple formats
  • Building and refining document workflows, approval chains, and metadata structures in AODocs
  • Reviewing incoming documentation for compliance with standards
  • Creating and managing document templates and automated routing processes
  • Generating reports and dashboards to track document status and KPIs
  • Training internal teams and external vendors on document control procedures
  • Supporting QA/QC checks to ensure documentation accuracy and version integrity
  • Collaborating with cross-functional stakeholders to improve document control systems


Skills Required:

  • 1–4 years of experience in document control, project administration, or information management (capital/industrial projects preferred)
  • Experience with AODocs, Google Workspace, SharePoint, OpenText, or similar document management systems
  • Strong understanding of document lifecycle management, version control, and transmittals
  • Proficiency in spreadsheets (Excel/Google Sheets) including formulas and basic reporting
  • Ability to manage large volumes of technical documentation across multiple stakeholders
  • Strong attention to detail, organization, and communication skills
  • Exposure to engineering, manufacturing, construction, or energy environments is a plus
  • Ability to support training and workflow documentation processes
