At Duke, we celebrate individuality and the unique perspectives that each member of our community brings. As the Material Control Coordinator (Mail Services Focus), you'll be a vital part of the Facilities & Distribution Services (FDS) team supporting Duke University Libraries.
In this role, you will help ensure the reliable, accurate, and timely movement of mail, library materials, and parcels across multiple library locations. Your work directly supports students, faculty, and staff by keeping library operations connected, efficient, and responsive.

What You'll Do:
Mail & Materials Delivery and Distribution (75%)
  • Deliver incoming campus mail, U.S. mail, interdepartmental mail, and parcels to Duke University Libraries and affiliated locations according to established routes and schedules.
  • Pick up outgoing mail and materials, including Interlibrary Loan (ILL), Borrow Direct, courier services, and boxed shipments, and prepare items for daily dispatch.
  • Operate Duke-assigned delivery vehicles in compliance with university safety standards and transportation policies.
  • Scan, track, and document deliveries and pickups to ensure accurate chain-of-custody and delivery confirmation.
  • Sort incoming mail and materials; verify items against documentation and report discrepancies.
  • Ensure outgoing items are properly labeled, secured, and meet carrier requirements and pickup deadlines.

Material Control & Administrative Support (15%)
  • Maintain records for incoming and outgoing packages, deliveries, and shipments using spreadsheets or departmental systems.
  • Assist with preparing shipping documentation and maintaining outstanding order and request files.
  • Monitor inventory levels of shipping, receiving, and material-handling supplies; place orders as needed.
  • Serve as a point of contact for routine questions related to mail services and material distribution.

Facilities & Logistics Support (10%)
  • Provide backup support for facilities logistics, including surplus discard pickups, small departmental moves, and redistribution of carts or materials.
  • Assist with inventory movement and space resets as directed.
  • Maintain cleanliness and organization of delivery vehicles, loading docks, and staging areas.
  • Participate in safety training, departmental meetings, and cross-functional support activities.

    • Preferred: Experience operating delivery vehicles and handling mail or package documentation.
