Job description

Position Overview

Paradigm Power Delivery Inc. is seeking a detail-oriented and organized Document Control Specialist to join our team. The Document Control role is critical in maintaining accurate and up-to-date project documentation, ensuring compliance with company and client standards, and supporting the efficient flow of information across departments. This position works closely with project teams, engineers, quality control, and management to organize, manage, and distribute documents related to electrical construction and power delivery projects.

Key Responsibilities

  • Coordinates with document originators including Project Engineers, Project Managers, and Quality personnel to initiate document submittals or revisions to prior document submittals.
  • Coordinates with Project Control personnel to ensure project records are up-to-date.
  • Reviews and distributes in-coming document notifications to appropriate personnel and entry of information into DCAP.
  • Maintains document status (For Review, Approved, Etc).
  • Monitors required response dates and provides notification of upcoming deadlines and missed receipt dates.
  • Works closely with Quality document originators at our remote manufacturing facilities.
  • Submits documents to customer via required systems, as applicable.
  • Maintains a detailed record of requests for document submittals.
  • Maintains document submittal schedules within the DCAP system.
  • Provide research or analysis of document history.
  • Work with Project Controls and provide expedited reports of current documentation status.
  • Provide DCAP training to personnel.
  • Expedites vendors for return of project documents
  • Maintains Corporate Supply List.

Requirements

  • High school diploma or equivalent; associate or bachelor's degree preferred.
  • 1-3 years of document control experience, preferably in construction, engineering, or related industries.
  • Familiarity with document management systems and software (e.g., SharePoint, Aconex, or similar).
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple tasks and priorities effectively.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Understanding of construction documentation and industry standards is a plus.
