Spa Administrative Assistant โ€“ Miraval Austin

Key Responsibilities

  • Provide administrative support to the Spa Director and spa Leadership team
  • Coordinate and manage day-to-day administrative tasks with accuracy and efficiency
  • Maintain strong, collaborative relationships across resort departments
  • Administrative Support โ€“ Provide clerical and administrative assistance to the Spa Manager and leadership team, including preparing reports, organizing documents, and maintaining files.
  • Cleanliness and Organization: Ensure the reception and retail areas are tidy, well-stocked, and aligned with the spaโ€™s brand standards.
  • Support projects and initiatives that enhance the guest and colleague experience
  • Scheduling Coordination โ€“ Assist with maintaining staff schedule balancing and communicating updates to spa therapists and operational team members.
  • Appointment Scheduling โ€“ Manage and coordinate spa leadership calendar and availability, to ensure efficient daily operations.
  • Facility Coordination โ€“ Communicate with housekeeping, maintenance, and other departments to ensure treatment rooms and spa facilities meet operational standards.
  • Guest Reception & Service Support โ€“ Provide professional guest assistance as necessary.
  • Uphold Miravalโ€™s commitment to mindfulness, presence, and exceptional service
  • Compliance & Confidentiality โ€“ Maintain confidentiality of guest and employee information and ensure adherence to company policies and spa operational procedures.
  • Team Collaboration โ€“ Work collaboratively with spa staff and leadership to support smooth daily operations and deliver an exceptional guest experience

Qualifications

  • General knowledge of spa operations preferred
  • Excellent written and verbal communication skills
  • Strong organizational skills and attention to detail
  • Proficiency in Microsoft Office Suite with strong skills in Excel and PowerPoint

  • Prior experience in a spa or hospitality environment preferred
