We are seeking a Administrative Assistant, to support the Logistical Support Services contract. This project will provide logistical support services for the U.S. Capitol Police. The primary place of performance shall be: 499 South Capitol St SW, Washington, D.C. 20003. This is a full-time position working 40 hours per week during normal business hours (6:00 to 18:00).

So, what will the Administrative Assistant at Terrestris do?

The Administrative Assistant will be a position under the Logistical Support Services contract. The Administrative Assistant is responsible for overseeing and managing complex logistics and mission support operations with the United States Capitol Police. This role requires a high level of expertise, leadership, and strategic thinking to ensure the seamless flow of information, equipment, supplies, and materials to support USCP missions. This position is contingent upon contract award.

What does a typical day look like for a Administrative Assistant?

You will:

  • Assist in preparing procurement requests, travel orders, vouchers, training requests, requisitions, and reconcile purchase orders.
  • Review reports, correspondence, and program analysis documents for accuracy, completeness, and supervisor approval.
  • Explain reporting procedures and requirements to operating officials.
  • Initiate development of new or revised administrative policies and procedures.
  • Compile and distribute reports on program goals, budgets, staffing, and performance criteria.
  • Prepare correspondence, charts, graphs, statistical data, presentations, and reports using office software.
  • Control and maintain records, forms, mail, directives, publications, and information management systems.
  • Respond to information requests, develop administrative reports, and compose correspondence independently.
  • Make routine calculations, including cost estimates, production rates, staffing, and workload figures.
  • Arrange staff meetings, reserve meeting rooms, prepare meeting minutes, and maintain the Division Manager's calendar.
  • Monitor incoming correspondence, publications, regulations, and directives; escalate issues as appropriate.
  • Evaluate and improve correspondence operations across subordinate offices.
  • Perform other assigned duties, including emergency operations support when required.

What qualifications do you look for?

  • Proficiency in logistics software, advanced knowledge of Microsoft Office suite, and data analysis tools.

  • Experience working in a federal government or law enforcement agency.
