Job Summary:

The Office Manager is responsiblefor providing accounting, cash management, administrative, and payroll supportto the dealership.ย  The Office Managerworks closely with the General Manager and dealershipas management teams to tackleday-to-day dealership operations and activities.ย  The Office Manager is proactive, worksindependently with limited supervision, and continually seeks opportunities tomake an impact on the organization's efficiencies.ย 

Job Responsibilities:

Aย ย ย ย ย ย ย ย Analyzes and organizesoffice operations and procedures

Aย ย ย ย ย ย ย ย Hires, trains, and supervises officepersonnel

  • Assists the HR Department in onboarding new employees

Aย  ย ย  ย  ย  Controls all posted documents, includingtime records, vehicledeals, commissions and additions and changes to inventory

Aย ย ย ย ย ย ย ย Prepares daily bank deposit and cash report

Aย ย ย ย ย ย ย ย Maintains an effectivecash management system and accurately forecasts cash needs

Aย ย ย ย ย ย ย ย Controls petty cash amounts for dealership and sales department

Aย ย ย ย ย ย ย ย Provides a timelydaily performance report(DPR) and keepsthe dealer/general manager informed about trends

Aย ย ย ย ย ย ย ย Reconciles select accountsmonthly

Aย ย ย ย ย ย ย ย Approves adjustments to inventory and receivable accountsas appropriate

Aย ย ย ย ย ย ย ย Ensures that all manufacturer accountsincluding warranty claims, rebates, interest, protection, andco-op advertising accounts are current and accurate

Aย ย ย ย ย ย ย ย Prints monthly journals,schedules and generalledger. Closes month by processing accounting month-end

Aย ย ย ย ย ย ย ย Assists in completion of annual review/audit

Aย ย ย ย ย ย ย ย Ensures compliance with all government regulations

Aย ย ย ย ย ย ย ย Prepares payroll on a timelybasis, posts payrolland maintains payroll records

Aย ย ย ย ย ย ย ย Prepares tax reports,tax deposits and tax returnsin a timely, accurate manner

Aย ย ย ย ย ย ย ย Stays abreast of current factoryincentives and codesdeliveries on dealership computersystem accordingly

Aย ย ย ย ย ย ย ย Manages the payoff of vehiclefloor plan and works with bankrepresentatives

Aย ย ย ย ย ย ย ย Compiles information and prepares reportsas requested by management and/or dealer principal

Job Requirements:

Aย ย ย ย ย ย ย ย Prior Automotive /Power sports Accountingย experience required

Aย ย ย ย ย ย ย ย Bachelor's degree (B.A.) or Associates Degree with minimum of 2years of accounting/ finance experience preferred

Aย ย ย ย ย ย ย ย Payroll preparation andreporting experience required

  • Solid computer skills (Excel, Word, Outlook, PowerPoint)
  • Must have advanced problem solving and analytical skills
  • Prioritizes and completes tasks with a concern for all the details involved; monitors and checks work for accuracy
  • Must be self-directed and effective working independently, yet equally comfortable contributing in a team environment
