Job Summary:
The Office Manager is responsiblefor providing accounting, cash management, administrative, and payroll supportto the dealership. The Office Managerworks closely with the General Manager and dealershipas management teams to tackleday-to-day dealership operations and activities. The Office Manager is proactive, worksindependently with limited supervision, and continually seeks opportunities tomake an impact on the organization's efficiencies.Â
Job Responsibilities:
AÂ Â Â Â Â Â Â Â Analyzes and organizesoffice operations and procedures
AÂ Â Â Â Â Â Â Â Hires, trains, and supervises officepersonnel
- Assists the HR Department in onboarding new employees
AÂ Â Â Â Â Controls all posted documents, includingtime records, vehicledeals, commissions and additions and changes to inventory
AÂ Â Â Â Â Â Â Â Prepares daily bank deposit and cash report
AÂ Â Â Â Â Â Â Â Maintains an effectivecash management system and accurately forecasts cash needs
AÂ Â Â Â Â Â Â Â Controls petty cash amounts for dealership and sales department
AÂ Â Â Â Â Â Â Â Provides a timelydaily performance report(DPR) and keepsthe dealer/general manager informed about trends
AÂ Â Â Â Â Â Â Â Reconciles select accountsmonthly
AÂ Â Â Â Â Â Â Â Approves adjustments to inventory and receivable accountsas appropriate
AÂ Â Â Â Â Â Â Â Ensures that all manufacturer accountsincluding warranty claims, rebates, interest, protection, andco-op advertising accounts are current and accurate
AÂ Â Â Â Â Â Â Â Prints monthly journals,schedules and generalledger. Closes month by processing accounting month-end
AÂ Â Â Â Â Â Â Â Assists in completion of annual review/audit
AÂ Â Â Â Â Â Â Â Ensures compliance with all government regulations
AÂ Â Â Â Â Â Â Â Prepares payroll on a timelybasis, posts payrolland maintains payroll records
AÂ Â Â Â Â Â Â Â Prepares tax reports,tax deposits and tax returnsin a timely, accurate manner
AÂ Â Â Â Â Â Â Â Stays abreast of current factoryincentives and codesdeliveries on dealership computersystem accordingly
AÂ Â Â Â Â Â Â Â Administers charge-back program
AÂ Â Â Â Â Â Â Â Manages the payoff of vehiclefloor plan and works with bankrepresentatives
AÂ Â Â Â Â Â Â Â Compiles information and prepares reportsas requested by management and/or dealer principal
AÂ Â Â Â Â Â Â Â Attends management meetings as requested
AÂ Â Â Â Â Â Â Â All other duties assignedby management
Job Requirements:
Â
A        Prior Automotive /Power sports Accounting experience required
AÂ Â Â Â Â Â Â Â Bachelor's degree (B.A.) or Associates Degree with minimum of 2years of accounting/ finance experience preferred
AÂ Â Â Â Â Â Â Â Payroll preparation andreporting experience required
- Solid computer skills (Excel, Word, Outlook, PowerPoint)
- Must have advanced problem solving and analytical skills
- Prioritizes and completes tasks with a concern for all the details involved; monitors and checks work for accuracy
- Must be self-directed and effective working independently, yet equally comfortable contributing in a team environment
