Job description

We are looking for a detail-oriented Vendor Clerk to support invoice processing and vendor communication for a fast-moving services organization in Kentucky. This contract opportunity is well suited for someone who enjoys keeping records accurate, following up on outstanding items, and working across teams to keep billing activity on track. The person in this role will help ensure vendor documentation is complete, issues are addressed promptly, and daily administrative tasks are handled with consistency and care.


Responsibilities:

• Build and maintain productive working relationships with vendors by providing timely, clear communication.

• Record conversations, updates, and follow-up activities accurately in company systems to support clear documentation.

• Monitor pending invoices and missing paperwork, then follow up to obtain required information within expected timeframes.

• Partner with internal teams to investigate vendor questions, resolve discrepancies, and support effective issue resolution.

• Check incoming documents for accuracy and completeness before submitting them for processing.

• Organize files and communication history while adhering to established procedures for tracking and follow-up.

• Recognize urgent matters, escalate them appropriately, and direct inquiries to the correct team members or leaders when needed.

• Assist with additional administrative tasks and special assignments as business needs require.

• Previous experience in customer service, administration, office support, call center operations, or a related environment is preferred.
• Strong verbal and written communication skills with the ability to interact professionally with vendors and internal staff.
• Demonstrated ability to deliver dependable service and maintain positive business relationships.
• Comfortable managing multiple tasks at once in a fast-paced setting with changing priorities.
• Solid problem-solving ability and sound judgment when handling questions or documentation issues.
• Working knowledge of Microsoft Office applications, including Outlook and Excel, along with the ability to learn new systems quickly.
• Ability to remain seated at a workstation for extended periods while performing manual and computer-based data entry tasks.
• Reliable transportation and a consistent record of punctuality and dependability.
