Job description

The Edmonton Police Service has an opportunity for one (1) Word/Data Processing Clerk. This position will provide all aspects of Administrative Support to the Senior Executive Director of Strategic Management and Financial Oversight and their leadership team. The position is responsible for helping to ensure the effective and efficient operation of two Divisions which is presently composed of the Strategic Design & Corporate Performance Section, Enterprise Project & Portfolio Management Office, Finance and Data Analytics. The successful candidate will be responsible for the following duties:

  • Receive and respond to all forms of enquiries (i.e. telephone, email, regular mail, etc.) in a timely and professional manner.
  • Be aware of all reports due to Chief's Committee, Edmonton Police Commission, and Edmonton City Council. Coordination of deadlines and submission of briefing notes, reports, and presentations.
  • Prepare weekly and annual workload reports.
  • Organize weekly team meetings and take meeting minutes.
  • Prepare correspondence (memorandums, briefing notes, financial reports, etc.) on behalf of the Executive Director/Directors for their signature.
  • Manage a diary date system to ensure the timely completion and submission of all required correspondence including performance e reviews and divisional tracking sheets.
  • Organize the Executive Director and Director's calendars and prepare/organize agendas and other required materials.
  • Ensure that the Executive Director, Director and Inspector have been briefed regarding important agenda items prior to all meetings.
  • Provide excellent customer service to both internal and external partners.
  • Liaise with the Office of the Chief and their Administrative Assistants to ensure timely and accurate responses to information requests and other forms of enquiries.
  • Prepare travel arrangements and complete expense claims for signature for Executive Director/Directors.
  • Maintain receipts and reconcile monthly VISA statements for the Executive Director and Directors.
  • Maintain and track OH&S requirements.
  • Prepare and submit weekly payroll forms and provide support for any CARM inquiries.
  • Assist in the research and preparation of Service Directives.
  • General office duties include ordering supplies, office maintenance, maintaining the division's drive, photocopying, filing and scanning.
  • Effectively prioritize and complete all assignments to an exemplary standard of excellence.
  • Perform other related duties as required.
     
  • Completion of grade twelve (12th) including business subjects related to word and information processing and training in microcomputer applications or completion of an approved certificate program. A minimum of three (3) years of progressively responsible supervisory and diversified word and/or information processing experience.
  • Proficiency with MS Word, Excel, and Outlook.
  • Proficiency with MS PowerPoint and Adobe Acrobat Pro would be an asset.
  • Must have good interpersonal communication skills and be able to multitask and provide courteous and professional work.
  • Must have excellent time management and organizational skills and demonstrated ability to work with standard office software programs.
  • Demonstrated ability to provide quality customer service.
  • Ability to work independently with minimal supervision and the ability to multitask.

Hours of Work: 33.75 hours per week, Monday - Friday. Hours of work may be subject to the terms and conditions of a variable hours of work program. May require some evening and weekend hours.

Salary Range: 21M, Salary Grade: 012, $30.31 - $38.01 (Hourly): $2,046.30 - $2,565.80 (Bi-Weekly): $53,407.45 - $66,967.64 (Annually). The rates quoted are in accordance with a collective agreement between the Union and the City of Edmonton.
