Responsibilities:

The Customer Service Representative is a vital contributor to customer fulfillment, operational efficiency, and supply chain alignment within a high-volume manufacturing setting. This role oversees the entire customer order process, ensuring precise order entry, proactive communication, and timely delivery.


Acting as a primary connection between customers and internal departments โ€” including Production, Supply Chain, Logistics, Sales, Finance, Quality, Shipping, and Warehouse Operations โ€” this position ensures smooth coordination and a consistently high level of customer satisfaction.


The ideal candidate is highly detail-focused, forward-thinking, and solution-oriented, with strong communication, analytical, and organizational capabilities. Success in this position requires the ability to juggle multiple priorities, anticipate potential challenges, resolve issues efficiently, and perform effectively in a fast-moving, team-driven environment.

  • Oversee the complete customer order lifecycle from initial receipt through final shipment confirmation, maintaining a high level of accuracy and responsiveness.
  • Review and confirm order details, including pricing, freight terms, status updates, and issue resolution to ensure seamless execution.
  • Take ownership of customer commitments by proactively identifying and addressing fulfillment risks before they impact delivery timelines.
  • Monitor and prioritize open orders daily to ensure alignment between customer expectations and operational capabilities.
  • Act as the main point of contact for customer inquiries, order updates, and issue resolution.
  • Foster strong customer relationships through timely communication and consistent operational performance.
  • Function as a central liaison between Sales, Production, Supply Chain, Purchasing, Logistics, Quality, Shipping, and Warehouse teams.
  • Promote alignment, clear communication, and coordinated execution across departments to meet customer expectations accurately and on schedule.
  • Collaborate with internal stakeholders to quickly resolve supply challenges, scheduling conflicts, inventory gaps, and shipping issues.
  • Track inventory levels and customer demand patterns to support proactive planning and fulfillment strategies.
  • Coordinate shipment readiness and carrier scheduling to meet delivery commitments and operational goals.
  • Provide a high standard of customer service through prompt communication, responsiveness, and professional issue handling.
  • Investigate and resolve order discrepancies, delays, damages, returns, and other customer concerns thoroughly and efficiently.
  • Establish trust and credibility with both internal teams and external customers through accountability, dependability, and follow-through.
  • Identify opportunities for process improvements that enhance efficiency, minimize errors, and elevate customer satisfaction.
  • Support a culture centered on accountability, continuous improvement, and operational excellence.
  • Contribute to OTIF (On-Time In-Full) performance through proactive order tracking, timely escalation, and effective cross-functional coordination.

Qualifications:

  • Minimum of 3 years of experience in order management, customer operations, supply chain, logistics, or a manufacturing environment.
  • Hands-on experience with ERP systems required; familiarity with Plex and EDI is strongly preferred.
  • Strong organizational abilities with the capacity to manage multiple priorities in a fast-paced setting.
  • Excellent communication, problem-solving, and cross-functional collaboration skills.
  • High attention to detail, strong follow-through, and a sense of urgency.
  • Proficiency in Microsoft Excel and reporting tools is preferred.
  • Solid knowledge of supply chain processes, inventory control, and order fulfillment.
