Customer Fulfillment Coordinator

About Us

Vantage Elevation, LLC is North Americaโ€™s leading independent manufacturer of elevator components and systems. Vantage is comprised of eight business units including GAL Manufacturing; GAL Canada; Hollister-Whitney; Elevator Controls; Courion; Bore-Max; Thames Valley Controls; and Vertical Dimensions. Through its brands, Vantage supplies almost all electro-mechanical devices used in contemporary elevators. Founded in 1927, the Vantage group employs over 900 staff in multiple locations across the United States, Canada, and the United Kingdom.

The Customer Fulfillment Coordinator coordinates customer pickup operations and supports end-to-end order fulfillment while maintaining accurate River Parts Warehouse (RPW) inventory. This position partners with Sales, Planning, Purchasing, Production, Shipping, and Packing Bench personnel to ensure customer orders are processed accurately, completed on time, and released efficiently. The role also provides a professional customer experience and supports operational continuity across the Customer Counter and RPW functions.

Requirements

We are searching for a candidate with:

  • High School Diploma or GED required; associate degree in business, supply chain, logistics, or a related field is a plus
  • Two or more years of experience in customer service, manufacturing support, inventory control, shipping, order fulfillment, or a related operation
  • Experience using an ERP system; Infor VISUAL Version 9 experience is preferred
  • Proficiency with Microsoft Office applications, including Excel, Outlook, and Word
  • Experience processing customer transactions, payments, or order documentation is preferred

Knowledge, Skills, and Abilities:

  • Strong customer-service orientation and the ability to communicate professionally in person, by phone, and through email
  • Strong organizational skills and the ability to prioritize multiple responsibilities in a fast-paced manufacturing environment
  • High level of accuracy when processing orders, completing ERP transactions, and maintaining inventory records
  • Ability to create, release, monitor, and complete work orders and related order-fulfillment transactions in the ERP system
  • Working knowledge of inventory transfers, replenishment, adjustments, cycle counts, and transaction controls
  • Ability to identify order or inventory discrepancies, investigate root causes, and coordinate timely resolution
  • Ability to collaborate effectively with Sales, Planning, Purchasing, Production, Shipping, and Packing Bench personnel
  • Adaptability and willingness to cross-train across Customer Counter and RPW/Packing Bench operations
  • Commitment to safety, housekeeping, standard work, and continuous improvement

Duties and Responsibilities

A typical day may include:

  • Delivering a professional, efficient, and accurate customer pickup experience from order receipt through customer release.
  • Processing customer pickup transactions, payments, required documentation, and ERP updates in accordance with established procedures.
  • Creating, releasing, monitoring, and completing work orders within the ERP system to support customer pickup and order fulfillment.
  • Reviewing open customer orders, identifying risks to completion, and communicating status updates to Sales and other internal stakeholders.
  • Verifying part numbers, quantities, documentation, and order accuracy before releasing material to the customer.
  • Coordinating order preparation, staging, packaging, and pickup readiness with Packing Bench and Shipping personnel.
  • Resolving customer pickup issues and order discrepancies while maintaining professional communication and a high level of service.
  • Maintaining RPW inventory through replenishment, inventory transfers, adjustments, cycle counts, and other required ERP transactions.
  • Investigating inventory discrepancies and supporting corrective actions to protect inventory accuracy and system integrity.
  • Coordinating order flow with Planning, Production, Purchasing, Shipping, and Packing Bench teams to support customer commitments.
  • Maintaining accurate ERP records, transaction documentation, pickup records, and other operational files.
  • Supporting standard work, process improvements, visual controls, and other initiatives that improve fulfillment lead time, inventory accuracy, and customer experience.
  • Maintaining a safe, organized, and professional work environment and promptly escalating safety or operational concerns.
  • Cross-training and providing operational support across Customer Counter and RPW/Packing Bench functions as business needs require.
  • Performing other duties as assigned by management.

Operational Assignment

All Customer Fulfillment Coordinators perform the same core role. Based on business needs, an employee may have a primary operational focus in either Customer Counter Operations or RPW/Packing Bench Operations. All Coordinators are expected to remain cross-trained and provide support across both assignments to ensure uninterrupted customer service and operational continuity.
