GENERAL SUMMARY

The Operations Coordinator is responsible for the daily execution of operational activities for assigned customers. This position supports the accurate and timely movement of customer orders from order entry through production delivery and shipment.

The Operations Coordinator works within established processes, maintains accurate order information, coordinates daily activities with internal teams and the company’s third-party logistics provider, and communicates operational updates related to assigned customer orders.


ESSENTIAL DUTIES AND RESPONSIBILITIES

Daily Customer Operations

  • Execute daily operational activities for assigned customers.
  • Monitor customer start-ship dates, delivery windows, and order requirements.
  • Communicate operational updates regarding assigned orders to customers, as directed.
  • Maintain accurate and current customer order information.
  • Identify and escalate delays, discrepancies, or issues that may affect customer requirements.


Sales Order Entry

  • Enter customer sales orders accurately and within required timelines.
  • Review purchase order information for quantities, pricing, dates, shipping details, and other required information.
  • Update sales orders based on approved changes.
  • Maintain complete and organized sales order documentation.


Production Order Placement

  • Create and place production orders based on approved customer orders and internal direction.
  • Confirm production order quantities, dates, and required information are entered accurately.
  • Update production orders when approved changes are received.
  • Maintain accurate supporting documentation for production orders.


Production Delivery Tracking

  • Track production delivery dates against customer start-ship dates and delivery requirements.
  • Follow up with the appropriate internal teams regarding production status and expected delivery timing.
  • Maintain current delivery information within company systems and tracking tools.
  • Escalate potential delays or missed delivery dates to the Senior Operations Manager.


3PL Coordination

  • Coordinate daily order and shipment activities with the company’s third-party logistics provider.
  • Provide approved order, shipping, and delivery information to the 3PL.
  • Follow up on order releases, shipment timing, and delivery status.
  • Communicate shipment discrepancies or execution issues to the Senior Operations Manager.
  • Maintain accurate shipment records and supporting documentation.


WHAT YOU’LL NEED TO SUCCEED


Qualifications

  • Previous experience in operations, order entry, logistics, production coordination, customer service, or a related position preferred.
  • Apparel, consumer products, wholesale, or retail experience is preferred.
  • Experience working with sales orders, purchase orders, production orders, or shipping documentation.
  • Strong attention to detail and accuracy.
  • Strong organizational and follow-up skills.
  • Ability to manage multiple orders, deadlines, and priorities.
  • Clear written and verbal communication skills.
  • Ability to follow established procedures and escalate issues promptly.
  • Proficiency in Microsoft Outlook, Excel, and business operating systems.
  • Experience with ERP systems, customer portals, or warehouse systems is preferred.
