Distant Moon Post Operations Coordinator | Leesburg, VA

Distant Moon is an award-winning production company seeking a Post Coordinator to support the operational and organizational side of post-production across documentary, commercial, and narrative projects.

This role is focused on the backend systems, organization, asset management, and operational support that help keep post-production running efficiently behind the scenes. We're looking for someone who is highly organized, detail-oriented, dependable, and comfortable managing project data, media assets, workflows, and operational tracking across multiple active productions.

This role works closely with post-production leadership, editors, producers, and operations teams to help maintain organized systems, accurate tracking, and smooth day-to-day workflows throughout the post-production process.

What You'll Do
  • Support post-production teams through project tracking, operational coordination, and backend workflow management
  • Maintain copyright directories, licensing records, archival documentation, and media clearance tracking across active projects
  • Organize, track, relink, and maintain archival footage, stock assets, licensed media, project files, and external deliverables
  • Assist with media management, project backups, archival workflows, and asset organization across productions
  • Help maintain project schedules, spreadsheets, operational records, and post-production tracking systems
  • Support budget tracking, reporting preparation, project wrap processes, and operational documentation
  • Coordinate with editors, producers, and post leadership to help keep projects organized and operationally supported throughout post-production
What We're Looking For
  • Approximately 2 4+ years of experience supporting creative operations, media management, post-production coordination, project administration, or related operational environments

  • Familiarity with media organization, archival workflows, licensing documentation, or asset management processes
  • Comfortable working in fast-moving creative environments with shifting priorities and deadlines
  • Strong communication and collaboration skills with the ability to support multiple teams simultaneously
  • Self-directed, dependable, process-oriented, and highly organized

Relevant creative industry, media operations, production coordination, or post-production support experience may be considered in place of traditional post-production backgrounds.

Bonus Experience
  • Experience supporting post-production, media management, editorial, or production operations teams
  • Familiarity with Teamwork, Airtable, Frame.io, Google Workspace, or similar workflow systems
  • Experience working with media assets, archival materials, stock footage, licensing workflows, or project tracking systems
  • Previous experience in documentary, agency, commercial, or digital media environments
