About the Role

We're looking for an organized, detail-oriented, and proactive Creative Operations Coordinator to help keep our internal agency operations running smoothly. This is an ideal opportunity for someone early in their career who is excited to learn how a creative agency operates and wants to build a career in project management, operations, or client services.

You'll support the day-to-day coordination of branding, design, and marketing projects while helping our creative team stay organized, meet deadlines, and deliver exceptional work. You'll work closely with project managers, designers, strategists, and leadership to ensure projects move efficiently from kickoff through final delivery.

What You'll DoProject Coordination
  • Support the coordination of multiple branding, design, and marketing projects from kickoff through final delivery.
  • Help maintain project timelines, schedules, task lists, and workback plans.
  • Schedule internal meetings, client presentations, and project reviews.
  • Track project progress and follow up with team members on deadlines and deliverables.
  • Prepare meeting agendas, notes, and action items.
  • Assist with project documentation and organization.
Creative Operations
  • Help maintain project management systems and ensure information stays up to date.
  • Organize creative assets, project files, and internal documentation.
  • Support workflow improvements and agency processes.
  • Assist with coordinating freelancers, vendors, and production partners when needed.
  • Help ensure projects stay organized and move efficiently through each stage.
Team Support
  • Coordinate calendars and scheduling across internal teams.
  • Assist with onboarding freelancers and new team members.
  • Help prepare presentations, meeting materials, and project documentation.
  • Support internal initiatives that improve collaboration and communication.
Client Support
  • Assist with client communications, meeting logistics, and project follow-ups.

Marketing & Agency Support
  • Assist with updating the agency website, social media, newsletters, and case studies.
  • Support awards submissions, speaking opportunities, and new business materials.
  • Help organize agency events, photoshoots, and marketing initiatives.

Requirements

What We're Looking For
  • 1–3 years of experience in project coordination, operations, account coordination, marketing, or a related role (agency experience is a plus but not required).
  • Exceptional organizational skills and strong attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • A proactive, positive attitude and willingness to learn.
  • Strong time management and follow-through.
  • Comfortable using Google Workspace and Figma.
  • Experience with project management tools such as Asana, Monday.com, ClickUp, Notion, or similar is a plus.
Bonus Points If You Have
  • Internship or work experience at a creative, branding, marketing, or advertising agency.
  • Experience coordinating projects, events, or marketing initiatives.
  • Interest in branding, design, marketing, or creative production.
  • Familiarity with Adobe Creative Suite, or other creative tools (not required).
