What You’ll Do

As Convention Services Manager, you will be the primary on-site contact for clients, ensuring their event experience is smooth, organized, and aligned with expectations.

Event Planning & Execution
  • Coordinate and service all assigned group meetings and events from contract handoff through completion
  • Lead BEO / event order meetings and ensure all departments are fully aligned
  • Prepare detailed function resumes and communicate all event details in advance
  • Conduct pre- and post-conference meetings with clients
  • Be present on-site for events, including evenings and weekends, as required
  • Respond to client needs promptly and professionally, delivering a service-first experience
Catering Sales & Revenue Generation
  • Achieve approximately 4–5 catering contracts per month (based on business levels)
  • Develop catering proposals, contracts, and follow-up communications
  • Build relationships that support repeat business and long-term client partnerships
Billing, Systems & Reporting
  • Ensure event billing is accurate and coordinated with Accounting
  • Enter group and reservation details into HMS / CRES systems accurately
  • Maintain CRM data, including activity tracking, notes, and pace reporting
  • Support month-end reporting, forecasting, and event reconciliation
Team & Administrative Support
  • Perform administrative tasks and client communication
  • Coordinate pre-arrival details and amenities to enhance the guest experience
  • Support marketing initiatives and maintain organized sales office practices
  • Contribute to social media engagement in alignment with Coast Hotels brand standards
What You Bring
  • 2–3 years of experience in convention services, catering, or hotel group sales
  • Strong understanding of event planning, banquet operations, and group servicing
  • Experience with hotel systems (HMS / CRES) and CRM platforms
  • Exceptional organizational and time management skills
  • Strong communication and relationship-building abilities
  • Ability to manage multiple events in a fast-paced environment
  • Flexible availability, including evenings, weekends, and holidays
