The Payroll & Billing Manager is responsible for the daily payroll and billing operations for a large, highprofile client. This role ensures that all hours worked are accurately captured, reconciled, and billed, and that employees are paid correctly and on time. The Payroll & Billing Manager updates and maintains the master schedule, verifies timesheets, and performs daily input and reconciliation of time and billing data. This position requires strong problemsolving skills to resolve discrepancies with employees and client representatives, along with patience and empathy when dealing with issues related to employees' pay. This position is based at the Securitas office in Atlanta, GA.

ESSENTIAL FUNCTIONS:

Functions may be assigned or modified based on business needs.

  1. Manages daily payroll input and reconciliation for a large client account; ensures all hours, premiums, and differentials are entered accurately and on time.

  2. Updates and maintains the master schedule to reflect current staffing, post assignments, and client requirements; coordinates with operations to ensure schedule accuracy.

  3. Verifies timesheets and timekeeping records against the master schedule; identifies and corrects discrepancies in hours, pay rates, and job codes before payroll processing and billing.

  4. Prepares and reviews billing data for the client, ensuring that billed hours and rates match the contract, master schedule, and approved timesheets; supports timely and accurate invoice generation.

  5. Works directly with employees to research and resolve pay discrepancies (missing hours, incorrect rates, overtime issues); responds with patience, empathy, and clear communication, recognizing the sensitivity of pay related issues.

  6. Collaborates with Branch and/or Account Manager, HR, and Finance to ensure alignment between payroll, billing, and budgeted labor; escalates issues that may impact costs or client satisfaction.

  7. Monitors daily and weekly reports on labor, overtime, and billing; identifies trends, errors, or anomalies and recommends corrective actions or process improvements.

  8. Ensures compliance with Securitas policies, client requirements, and applicable wage and hour laws; maintains accurate and complete payroll and billing records.

  9. Assists in the development and maintenance of procedures for timekeeping, scheduling, payroll, and billing for the assigned account, trains operations and support staff on proper processes.

  10. Handles sensitive and confidential employee and client information with discretion and professionalism.

  11. Performs tasks and duties of a similar nature and scope as required for the assigned account or site(s).


Qualifications:

  • Bachelor's degree preferred.

  • 3-4 years of payroll and billing experience required.

  • Understanding of security operations and workforce scheduling.

  • Strong experience with payroll and/or billing for a large, complex account.

  • Proven ability to perform accurately in a highstress, fastpaced environment with frequent urgent issues and tight deadlines.

  • Demonstrated ability to perform daily data input, reconciliation, and verification of timesheets.

  • Strong problemsolving skills, especially in resolving pay and billing discrepancies.

  • High level of patience, empathy, and professionalism when dealing with employees about their pay.

  • Experience with timekeeping, scheduling, and payroll/billing systems; proficiency with spreadsheets and other PC applications.

  • Strong attention to detail and accuracy.

  • Ability to handle multiple tasks concurrently and meet strict deadlines.

  • Ability to handle sensitive and confidential information appropriately.

  • Strong oral and written communication skills, including the ability to explain pay and billing issues clearly.

  • Strong customer service orientation toward both employees and client representatives.

  • Ability to interact effectively at various organizational levels and across diverse cultures.

  • Ability to adapt to changes in client requirements, systems, and organizational priorities.
