Job Description

Our client is seeking a sharp, detail-oriented coordinator to own the day-to-day operational layer of their Contingent Workforce (CW) Program: processing worker lifecycle events in VNDLY, coordinating onboarding and offboarding logistics, and keeping data clean across systems. This person will work directly with the client's CW Program Manager and partner daily with People Services, IT, and the client's staffing and payroll vendors. This is a one-year contract and is 25% in office. Possibility to turn into a direct hire position.

What You Will Do:

  • Process contingent worker lifecycle events in VNDLY: worker record creation, work orders, onboarding and offboarding tasks, extensions, assignment updates, and profile changes (including vendor-to-vendor transitions)

  • Own VMS record administration end to end, including new vendor setup and records currently processed by People Services

  • Coordinate day-one readiness for new contractors: system access requests, equipment, badge logistics, and manager communications; run offboarding checklists and confirm access termination on final days

  • Support the contractor onboarding experience, including the new-hire onboarding (NHO) track for contingent workers: session logistics, materials distribution, and coordination with People Services and the onboarding team

  • Own front-line triage across the program's intake surfaces: the CW inbox, the Jira ticket queue, and Slack requests. Answer routine questions from the CW Toolkit, resolve or route tickets with context, and keep response times inside SLA

  • Support finance and billing operations: chase and correct timesheets, run first-touch traces on payment and billing questions (timesheet to approval to invoice to PO), flag invoice discrepancies and coding issues in Zip, and partner with Finance and vendors through to resolution

  • Keep rosters reconciled across VNDLY, Workday, and vendor systems; pull data for monthly program reporting

Program Administration:

  • Own knowledge and content hygiene: Google Drive folder organization, internal knowledge base updates, and keeping intake forms and templates current

  • Administer program communications: the contingent worker inbox and Google Group, distribution lists, recap posts, announcement cross-posting, and Slack channel upkeep

  • Support vendor management admin: collect monthly vendor metrics into the program scorecard, schedule QBRs, and track vendor action items through to the next agenda

Qualifications
  • 2+ years in HR operations, staffing/recruiting operations, or program coordination

  • Experience with a VMS or HRIS (VNDLY, Workday, Fieldglass, Beeline, or similar) strongly preferred

  • Organized and detail-oriented, with excellent professional judgment; will manage time-sensitive and critical processes related to compensation, performance, and compliance, and handle worker data with accuracy and privacy

  • Reliable and responsive; will field time-sensitive and urgent questions from employees and the client's People team partners

  • Excellent communication skills for coordinating with cross-functional partners

  • Able to manage multiple deadlines and prioritize effectively in a fast-paced, shifting-priority environment

  • Customer service-oriented; treats internal teams as "clients" and takes a flexible, creative approach to problem-solving

  • Fluent in Google Workspace (Docs, Sheets) and Slack

  • Interest in using automation and AI to improve day-to-day processes

  • Staffing industry or contingent workforce program experience is a plus
