Job Description
The Interview Scheduler plays a critical role in supporting the Talent Acquisition team by coordinating interview logistics across multiple departments, time zones, and locations. This role ensures a seamless, positive experience for candidates and hiring teams by managing complex calendars, communicating clearly and professionally, and providing administrative support throughout the hiring process.
Key Responsibilities
• Interview Coordination & Scheduling
o Partner closely with Recruiters, Hiring Managers, and interview teams to schedule phone screens, virtual interviews, and in-person interviews across multiple locations.
o Coordinate complex scheduling involving multiple interviewers, panel interviews, and shifting availability.
o Communicate interview details and expectations clearly to candidates and internal stakeholders.
o Manage calendar invitations, conference room reservations, virtual meeting links, and follow-up reminders.
• Candidate Experience & Communication
o Serve as a primary point of contact for candidates regarding scheduling, logistics, and next steps.
o Ensure timely updates and a smooth, positive candidate journey from initial scheduling through final interviews.
o Respond to scheduling changes or conflicts quickly and tactfully.
Required Skills & Qualifications
• Interview Scheduling Experience
o Prior experience coordinating interviews across multiple teams, locations, or time zones.
o Strong ability to navigate and manage competing priorities and shifting schedules.
• Attention to Detail & Multitasking
o Exceptional organizational skills with the ability to manage multiple requests simultaneously.
o High accuracy in managing logistics, documentation, and communications.
• Communication & Interpersonal Skills
o Professional and clear written and verbal communication.
o Ability to interact with candidates, hiring managers, and team members with professionalism, tact, and a customer-service mindset.
• Technical Skills
o Experience with Applicant Tracking Systems (ATS) and HRIS platforms.
o Proficiency with Outlook or similar calendar/scheduling tools.
o Comfortable with virtual meeting platforms (Teams, Zoom, etc.) and general office software.
Preferred Qualifications
• Experience supporting Talent Acquisition in a high-volume or enterprise environment.
• Familiarity with multi-location or multi-time-zone scheduling.
• Background in HR, Recruiting Coordination, or administrative roles in a corporate setting.
