Job description

The Structural Engineering Institute of American Society of Civil Engineers (SEI/ASCE) - representing more than 30,000 structural engineers globally - is currently seeking an experienced Senior Coordinator for SEI Programs and Events to provide operational support for all SEI conferences and events as well as comprehensive marketing and production support for SEI's webinar program and operational support for SEI conferences. This role reports to the SEI Senior Conference Manager and ensures the successful planning, promotion, and execution of SEI conferences, events, webinars, conferences, and related initiatives. Position will also support events outside of SEI as needed and assigned by supervisor, especially for CI, AEI, and IRD.

Meetings, Conference, Events, Meetings and Webinar Responsibilities:

  • Coordinate with presenters to ensure the timely and professional delivery of content for webinars and conferences, events, and webinars
  • Collaborate with Continuing Education and Publications departments to ensure accurate and timely production of webinars and related materials
  • Oversee pre-conference and event logistics, including signage, badges, and registration materials
  • Coordinate with the Sales department and sponsors to fulfill sponsorship deliverables
  • Manage hotel and on-site logistics for conferences and smaller meetings
  • Maintain conference websites, including program updates
  • Manage the conference evaluation process and reporting
  • Assist in developing and tracking event budgets

Marketing Responsibilities:

  • Manage marketing efforts for events and webinars and publications to maximize visibility, engagement, and attendance
  • Proofread promotional and editorial content for email campaigns, newsletters, and other communications
  • Ensure successful execution of marketing plans for events and webinars
  • Assist with website updates and social media promotion (Facebook, X, LinkedIn, Instagram) for programs and events

Customer Service and Administrative Responsibilities:

  • Provide high-quality customer service to speakers, sponsors, attendees, and stakeholders
  • Support administrative processes related to events, webinars, and publications
  • Perform other duties as assigned

Ideal candidate will have:

  • Bachelor's degree or equivalent work experience
  • Intermediate to advanced proficiency in MS Word, Excel, PowerPoint and Asana Project Management
  • Understanding of the principles of marketing and communications
  • At least three years of similar work experience
  • Association or volunteer management experience
  • A desire to travel occasionally to conferences and meetings
