POSITION OVERVIEW

The Part-Time Concierge is the operational backbone of Rivani’s front-of-house - the person who ensures that every commitment made to a tenant is tracked, executed, and followed through to completion. This is a highly organized, detail-oriented role that requires genuine hospitality instincts alongside the process-discipline to manage multiple open items simultaneously without ever losing precision.

The Part-Time Concierge works closely with the Concierge Manager to support the full range of tenant-facing operations - from managing requests and communications to coordinating vendor services and supporting programming activations.

This role is specifically structured to provide reliable coverage during scheduled PTO and planned absences for full-time concierge team members, as well as dedicated support for tenant events and programming activations. Availability and flexibility within the Monday – Friday daytime window are essential. For the right candidate, this role is the proving ground for growth within luxury hospitality leadership.

CORE RESPONSIBILITIES

  • Tenant Service Coordination: Support the Concierge Manager and front-of-house team in executing tenant requests, service arrangements, and personalized touchpoints. Track all open service items with relentless follow-through until each is resolved, confirmed, and documented.
  • Tenant Communication: Communicate with tenants in writing and in person with the warmth, precision, and discretion that Rivani demands. Every interaction - from a brief email to a face-to-face conversation - reflects the building’s standard.
  • Records & Preference Management: Maintain accurate and current records of tenant preferences, pending requests, and service history across all platforms. Ensure the Concierge Manager and front-of-house team always have the information they need to deliver personalized service.
  • Vendor & Partner Coordination: Coordinate directly with third-party service providers, vendors, and amenity partners to fulfill tenant requests and event needs. Confirm service details, manage scheduling logistics, and communicate any changes promptly and professionally. Maintain organized vendor records and service history.
  • Front-of-House Operational Support: Provide full operational support to the concierge team during peak periods, high-traffic events, and staffing transitions. Manage deliveries, visitor registration, and tenant notifications with accuracy and urgency. Assist in always maintaining the front-of-house environment to Rivani’s presentation and brand standards.
  • Scheduled PTO Coverage: Step into full concierge responsibilities during scheduled PTO and planned absences for full-time team members. Maintain seamless service continuity - tenants should experience no gap in attentiveness, follow-through, or standard of care. Quickly orient to open items, active service requests, and tenant preferences to pick up exactly where the full-time team left off.
  • Scheduling & Task Coordination: Support daily task management and scheduling coordination for the concierge team as directed by the Concierge Manager. Ensure nothing slips in a high-volume, fast-moving operational environment.
  • Programming & Events Support: Serve as a dedicated on-the-ground resource for tenant programming, wellness activations, and private events. Prepare event materials, manage RSVP tracking, coordinate vendor arrivals and setup, and provide active operational support throughout event execution. This is a primary function of the part-time role - the ideal candidate is energized by events, not just available for them.
  • Continuous Improvement: Identify patterns in service requests or recurring coordination challenges and surface observations to the Concierge Manager. A great Concierge notices what can be done better and says so.

WHAT YOU BRING

  • 2+ years of experience in luxury hospitality, concierge services, executive support, or a high-touch service coordination environment
  • Exceptional organizational skills - demonstrated ability to manage multiple open items simultaneously without losing accuracy or urgency
  • Strong written and verbal communication skills; every message and interaction from this role represents Rivani
  • Proficiency with service management platforms, CRM tools, scheduling software, and Microsoft Office Suite
  • Proactive, solutions-forward mindset - you anticipate what is needed before being asked
  • Absolute discretion and professional composure in all tenant and team interactions
  • Genuine passion for service and demonstrated interest in building a career within luxury hospitality
  • Bilingual English/Spanish strongly preferred given Rivani’s tenant community and BBM workforce
