Job description
This Communications & Contract Enrollment Specialist serves as a key operational and communication leader within the Records & Registration department, coordinating comprehensive student communications and supporting registration processes across both credit and noncredit programs. The position acts as a liaison for high school partnerships, including dual credit and contract enrollment initiatives, providing subject matter expertise, training, and troubleshooting support to internal teams and external partners. The specialist maintains department web content, handles high-volume registration activities (including adds, drops, withdrawals, and grading support), and resolves escalated student and staff concerns with a strong focus on accuracy, compliance, and student success. Additionally, the position assists with reporting and data analysis efforts related to communications and enrollment, while supporting system testing, continuous process improvement, and effective use of enterprise technologies such as Banner and Target X.
Responsibilities:
- Coordinate all student communications out of the Records & Registration department, including, but not limited to, end of term, new student orientation & registration, no-show reporting, and grade changes.
- Oversee and maintain the Records & Registration Commons webpages on the student and staff portal which provide information and training that support all department processes.
- Serve as the liaison for high school students and contract partners for all escalated student and staff inquiries related to registration of dual credit coursework. This includes but is not limited to maintenance of contract student registration and student records.
- Serve as the designated contact and subject matter expert for the High School Relations team for training, troubleshooting, and student support in relation to Records & Registration.
- Manage processes related to all student registrations, drops, withdrawals, and assist with the grading process for all high school initiatives, including, but not limited to, transcripted credit, high school academies, high school contract courses, and start college now.
- Conduct reporting and data analysis related to communications and contract enrollment.
- Test functionality of Banner upgrades and patches pertaining to contract enrollment and communication generation during quarterly cycles.
- Responsible for assisting with grades changes and academic standing for end-of-term processes.
- Investigate and resolve all escalated student and staff concerns related to registration of both credit and noncredit coursework. This includes but is not limited to maintenance of student registration time tickets and permit overrides, troubleshoot any registration concerns, and student support of all new, continuing and open registration students.
- Collaborate with the team to manage Records & Registration related student records.
- Identify and implement uses of Banner and office systems technology to support continuous process improvement.
- Develop an in-depth working knowledge and be a staff resource for the Banner modules related to the student functional areas.
- Conduct general Records & Registration student support and assist the team with duties that take priority for student success and support.
- Practice and enforce FERPA regulations, CVTC and Wisconsin Technical College System (WTCS) board policy for all the above.
Required Knowledge, Skills and Abilities:

- Advanced knowledge and skills with technology including software programs for communication, data collection, and decision making including, but not limited to, Office 365 Suite, CRM (Target X) and Student Information System (Banner).
- Associate’s degree in Professional Communications, English, Administrative Professional or related field.
- Minimum of two years of experience in customer service or professional office setting.
- Higher education experience with direct experience working with student records and/or course registration preferred.
- Experience with a student information system such as Banner preferred.
- Experience with a customer relationship management systems such as Target X/Salesforce preferred.
