THE ROLE

Vote Solar is seeking an Associate, Talent, Finance, + Operations (TFO) to manage the day-to-day finance, talent, and internal culture operations that keep Vote Solar running. Reporting to the Chief Operating Officer, this role manages the operational execution of accounts payable and receivable across both Vote Solar and Vote Solar Action Fund, maintains our HR and people-ops systems (hiring logistics, performance management, engagement surveys, etc.), and supports internal communications and culture-building across the organization. The Associate, TFO role is a strong fit for someone with prior experience in accounting or people operations, who is detail-oriented, and who can apply sound judgement to maintain accurate systems, and keep processes running smoothly.

RESPONSIBILITIES

The Associate, TFO's primary responsibilities will include, but are not limited to:

Financial Operations + Compliance (50%)

• Manage full-cycle accounts payable for Vote Solar and Vote Solar Action Fund: vendor setup, bill coding, and payment execution within established approval controls
• Manage the organization's credit card program: receipt matching, policy compliance, and monthly reconciliation
• Process and reconcile incoming donor and grant deposits against the donor database, ensuring revenue is accurately recorded across both entities
• Prepare and track funder invoicing per grant agreement terms, applying restricted/unrestricted fund coding and managing the receivable aging log
• Serve as the primary point of contact for day-to-day AP/AR questions from staff and vendors
• Support monthly account reconciliations, budget tracking, and annual audit preparation

Talent + People Operations (35%)

• Support hiring logistics and maintain pipeline tracking and reporting for hiring managers and leadership
• Maintain personnel records and administer onboarding/offboarding documentation
• Administer Lattice systems, including performance management cycles and the employee engagement survey
• Support benefits administration and payroll-related staff requests
• Monitor labor law updates and support handbook and policy maintenance

Internal Communications + Culture (10%)

• Draft and distribute internal newsletters; maintain Intranet (Sunray) content for the TFO team
• Coordinate logistics for organization-wide meetings and events, including in-person retreats and all-staff meetings
• Support communication of operational policies and updates at staff meetings and help gather staff feedback
• Coordinate staff appreciation and recognition processes
• Support distribution of branded materials and culture-building activities

Learning + Development (5%)

• Continue personal learning and contribute to organizational work on diversity, equity, and inclusion
• Work to embed equity in all organizational internal practices and culture, as well as our programs
• Bring openness and engagement to personal, professional, and organization-wide learning on race, class, gender, justice, and equity

WHAT YOU'VE ACCOMPLISHED

• ~2-4 years of professional experience, ideally including exposure to accounting (accounts payable, accounts receivable, or reconciliations) and/or HR or people-operations systems.
• BA/BS and/or sufficient relevant work experience typically preferred.
• Prior experience with DEIJ agendas preferred.

• Knowledge or experience in the energy or environmental sector
• Experience in talent/recruitment

LOCATION

This is a remote position within the United States, with a preference for candidates based near a transportation hub. This position will require some national travel (one to three trips per year, typically for team or organization retreats.) Workplace arrangements are flexible, including options to work from a co-working space or work from home. 

SALARY AND BENEFITS

The hourly rate range for this position is $35.77 - $38.80 (annualized equivalent of $74,400 - $80,700, based on a standard 2,080-hour work year). This is a nonexempt, hourly position eligible for overtime pay in accordance with federal and applicable state law.  

At Vote Solar, we work hard to ensure that our compensation is equitable internally and aligned with our compensation philosophy and defined job levels. In order to ensure equitable compensation across roles in the organization, all offers are made within our posted salary range for the role and we do not negotiate new hire offers.

Vote Solar provides full-time staff with a competitive package, including 4 weeks of paid vacation, 12 days of sick leave, 4 days of personal leave and 16 paid holidays, including the last 5 business days of December. We also offer 100% employer-provided health, dental and vision care for both the employee and dependents; a retirement savings plan with an employer contribution of 3.5%; and a paid parental and medical leave policy for all regular employees.
