Commercial Property Manager

IronRoad is conducting a confidential search for our Cincinnati/Dayton, Ohio client. YOU MUST HAVE COMMERCIAL REAL ESTATE BACKGROUND TO BE CONSIDERED FOR THIS POSITION. We are sourcing for a Property Manager Assistant. We are looking for someone with a GREAT VIBE that works in the commercial real estate space, loves taking care of clients, vendors, and internal staff. We are looking for a multi-tasking problem solver that doesn't get rattled in a fast-paced environment and has a passion for taking care of others.

Position Summary

The Commercial Property Manager provides high-level administrative, operational, and financial support to Property Managers in overseeing a diverse portfolio of commercial real estate assets. This role serves as a key liaison between tenants, vendors, and internal teams, ensuring smooth day-to-day property operations while supporting lease administration, financial reporting, and compliance initiatives. The ideal candidate is highly organized, financially savvy, and able to manage multiple priorities in a fast-paced environment.

Key Responsibilities

Property Operations & Tenant Relations

  • Assist in day-to-day management of a commercial property portfolio.
  • Serve as a primary point of contact for tenants, vendors, and internal stakeholders.
  • Coordinate maintenance requests, follow through to completion, and ensure service quality.
  • Support vendor management, including contract administration, service tracking, and helpdesk management.
  • Assist with property inspections, ensuring compliance with building standards and safety regulations.
  • Prepare tenant correspondence, notices, and onboarding/move-in/out documentation.

Financial & Reporting Support

  • Prepare and process accounts payable and receivable (AP/AR).
  • Assist with monthly financial reporting, variance reports, and CAM reconciliations.
  • Track rent collections, delinquencies, and tenant bill-backs.
  • Support annual budget preparation and forecasting.
  • Maintain accurate records in property management software systems (e.g., Yardi, MRI, AppFolio).

Lease & Administrative Management

  • Abstract leases and maintain critical lease data, including renewals, expirations, and rent escalations.
  • Support lease administration and compliance tracking.
  • Maintain organized property files (digital and physical).
  • Assist with capital projects, renovations, and tenant improvement initiatives.
  • Prepare reports, presentations, and internal documentation as needed.

Qualifications

Education & Experience

  • Bachelor's degree preferred (Business, Real Estate, Finance, or related field).
  • 3-5+ years of experience in property management, real estate administration, or related support roles.
  • Experience with multiple commercial property types (office, retail, industrial ) required.

Skills & Competencies

  • Strong knowledge of commercial leases and property management practices.
  • Proficiency in property management software (Yardi, MRI, AppFolio, or similar).
  • Solid financial, analytical, and reporting skills.
  • Excellent communication, tenant relations, and problem-solving skills.
  • Highly organized with strong attention to detail and ability to manage multiple deadlines.

Preferred Qualifications

  • Real estate license (Ohio) is a plus.
  • Experience with CAM reconciliations, budgeting, and lease administration systems.
