Job description

Position Summary
HUB International Investment Services is a nationally recognized Retirement Plan Consulting firm seeking a detail-oriented, proactive Client Service Coordinator to support our growing retirement plan advisory team. This entry-level role is ideal for a motivated professional who thrives in a fast-paced, client-facing environment and is eager to build a career in financial services. You will play a key role in ensuring seamless committee meeting coordination, client communications, and the timely production of reports and presentations.
Key Responsibilities
Committee Meeting Coordination
  • Schedule and coordinate quarterly retirement plan committee meetings, aligning advisor, client, and vendor calendars

  • Prepare and distribute meeting agendas, invitations, and pre-meeting materials to all stakeholders

  • Track action items and follow-up tasks from committee meetings

Presentation & Report Production
  • Build and update client-facing PowerPoint presentations for quarterly and annual committee meetings

  • Generate investment due diligence reports using proprietary reporting platforms (e.g. RPAG)

  • Produce fee benchmarking reports by compiling and analyzing plan-level data from multiple sources

  • Coordinate with recordkeepers and investment platforms to pull and reconcile data for reporting

Client Relationship Database
  • Maintain and update client relationship data in CRM systems Experience in Microsoft Dynamics or Salesforce preferred.

  • Ensure accuracy of client contact information, plan details, meeting notes, and activity logs

Client & Vendor Communications
  • Serve as a proactive point of contact for clients on routine service requests, meeting logistics, and follow-up items

  • Coordinate with plan recordkeepers and investment vendors to obtain data, resolve service issues, and assist plan changes

  • Draft and send professional client communications including meeting confirmations, action item summaries, and service updates

  • Support the advisory team with internal partner coordination across compliance, operations, and other HUB service lines

Qualifications & Experience
Required
  • Proficiency in Microsoft Office Suite - particularly PowerPoint, Excel, Word, and Outlook

  • Strong attention to detail, organizational skills, and ability to manage multiple projects with competing deadlines

  • Professional interpersonal skills and comfort communicating with clients and vendors by phone and email

  • Self-starter who can problem-solve and work independently with limited oversight

  • Positive, collaborative attitude and willingness to support team goals and various projects

  • Strong attention to detail and organizational skills

Preferred
  • 1+ year of experience in financial services, insurance, employee benefits, or a related field

  • Project management experience with working on several projects with different timelines

  • Familiarity with Client Relationship Database tools (e.g. Microsoft Dynamics, Salesforce)

  • Associate's or Bachelor's degree

The expected salary range for this position is $25.00 to $28.85 and will be impacted by factors such as the successful candidate's skills, experience and working location, as well as the specific position's business line, scope and level. HUB International is proud to offer comprehensive benefit and total compensation packages which could include health/dental/vision/life/disability insurance, FSA, HAS and 401(k) accounts, paid-time-off benefits such as vacation, sick, personal, floating holidays and company holidays. In addition, eligible annual bonuses, equity and commissions may be available for some positions.
This is a hybrid role, requiring three days per week in the office.
