Primary Responsibilities & Attitude

The Onboarding Associate will be an integral part of the team. On a day-to-day basis you will be responsible for ensuring a simple, fast and easy onboarding experience for our new clients. Our business is continually evolving, and you will help us shape its growth. We're looking for someone who is known for their work ethic, taking initiative, and considers themselves to be entrepreneurial, innovative, and likes a challenge.

Key Accountabilities

  • Working with clients, transfer agents, and counsel to ensure a smooth onboarding experience
  • Track and manage the new client onboarding schedule while understanding prioritization, business and client requirements when planning activities
  • Reviewing data files and liaising with clients and their agents to cure any deficiencies
  • Ensuring all required client documents and funds are received
  • Gathering and coordinating the compliance review of client KYC documentation
  • Setting up new clients and coordinating the loading of shareholder records to the core recordkeeping system
  • Reconcile records for all onboarding clients; retain documentation in an organized manner
  • Lead and participate in projects on an ad hoc basis
  • Working closely with other departments, such as Operations, Finance, and Compliance to ensure smooth client onboarding
  • Maintaining strict adherence to compliance standards
  • Maintaining a strong focus on retention and growth by delivering exceptional service
  • In addition to the duties listed above, management may request the completion of other duties or projects as assigned
  • Oversee the transition of records for offboarding clients, as needed

Skills and Experience

  • High attention to detail and accuracy
  • Strong interpersonal skills with excellent verbal and written communication
  • Ability to remain organized while prioritizing multiple tasks with varying levels of urgency
  • Solutions-based attitude and an eagerness to drive process improvements by identifying problem areas and presenting solutions to management
  • Sound computer skills and ability to adapt to and apply new technologies
  • Experience with Microsoft Office applications and SharePoint
