West Palm Beach, FL • On-site, Remote

Job description

Opportunity

SMArtX Advisory Solutions, a rapidly growing financial services technology company based in West Palm Beach, Florida, is seeking a Client Success Manager to drive the day-to-day operational execution behind our client relationships across Enterprise and Independent RIA firms, FinTech companies, Asset Managers, TAMPs, and Custodians. This role is assigned to a dedicated book of accounts and sits at the operational center of the client experience — coordinating between the VP, Client Strategy & Success, the Onboarding team, and Client Support to keep processes, communications, and initiatives moving without friction.

The Client Success Manager acts as the connective tissue for the account: translating strategic direction into action, tracking commitments through to closure, and surfacing issues before they become escalations. This role partners closely with the VP, Client Strategy & Success, absorbing the operational and coordination workload so the VP can stay focused on relationship strategy, executive engagement, and growth planning.

Position Requirements

  • Strong project and process management skills, with the ability to track multiple concurrent workstreams, deliverables, and deadlines across accounts.

  • Working knowledge of Managed Accounts, UMAs, TAMPs, and FinTech platform concepts sufficient to coordinate accurately across technical, onboarding, and support teams.

  • Comfort operating inside ticketing and workflow systems (e.g., Jira, Confluence) to log requests, track status, and maintain a clear audit trail of client activity.

  • Excellent written and verbal communication skills, with the ability to translate technical or operational detail into clear updates for clients and internal stakeholders alike.

  • Strong follow-through and attention to detail; able to hold open items accountable across teams without needing constant prompting.

  • Demonstrated ability to identify process gaps and design practical solutions, with a bias toward automation and AI-enabled tools to streamline account operations, reporting, and communications.

  • Comfort working across organizational lines — Onboarding, Client Support, Product, and Operations — without formal authority over those teams, relying on clarity, follow-up, and relationship-building to keep work moving.

  • A proactive, ''no dropped balls'' mindset — someone who notices gaps in process or communication and closes them before they affect the client.

  • Bachelor's degree.

  • 3–5+ years of experience in client success, account management, implementation, or operations roles, ideally within financial services or FinTech.

Responsibilities

  • Serve as the day-to-day operational point of contact for an assigned book of accounts, working in close coordination with the VP, Client Strategy & Success.

  • Bridge communication and hand-offs between the Onboarding team, Client Support, and the client — ensuring nothing falls into a gap between teams.

  • Track and manage open action items, initiatives, and commitments for each assigned account, following up until items are closed out.

  • Monitor the status of onboarding requests, support tickets, and pricing or contract items in flight, and provide the VP with a clear, current picture of account activity.

  • Prepare account status materials, agendas, and briefing notes to support the VP's client meetings and business reviews — allowing the VP to walk in focused on strategy rather than status-gathering.

  • Help coordinate scheduling and logistics for client meetings, business reviews, and cross-functional working sessions.

  • Maintain visibility into client requests and tickets logged by Client Support and Onboarding (e.g., Jira/CSRI, IPO, support queues), ensuring accurate documentation and follow-through to resolution.

  • Escalate emerging risks or delays to the VP, Client Strategy & Success proactively, with enough context to support a fast decision.

  • Identify recurring operational pain points across assigned accounts and propose or build automation and AI-enabled solutions to reduce manual work and improve response time.

  • Maintain up-to-date account documentation, activity logs, and health/status tracking for assigned accounts.

  • Support the VP in preparing for and following up on executive-level interactions — managing the operational thread so strategic conversations stay uninterrupted by administrative follow-up.

  • Partner with Product, Operations, and Client Support to drive resolution of client issues and communicate outcomes back to the client and the VP.

  • Identify recurring process gaps across accounts and recommend operational improvements to the Client Success team.

Reporting Relationship

The Client Success Manager works in close partnership with the VP, Client Strategy & Success, serving in a dedicated support capacity for assigned accounts. This role does not own account strategy or executive relationship management — those remain with the VP — but is accountable for the operational execution, coordination, and communication that make the strategy real day to day.
