Full-time position working 40 hours per week


Easterseals Florida is hiring an experienced and detail-oriented Intake Manager to lead our Early Steps intake operations. This role oversees a team responsible for client intake, referral processing, and insurance verification, ensuring timely and accurate service delivery for children and families.


This is an excellent opportunity for candidates with experience in healthcare intake, patient access, case coordination, or medical front office leadership.


Key Responsibilities

  • Lead, hire, train, and supervise Intake Coordinators and Insurance Verifier
  • Oversee daily intake operations, including referrals, data entry, and insurance verification
  • Ensure all intakes are completed accurately and entered into required systems
  • Monitor timelines, including 45-day compliance for eligibility evaluations
  • Assign intake cases and ensure timely follow-up with families and referral sources
  • Communicate program services and guide families through enrollment and documentation
  • Maintain accurate electronic and paper records in compliance with regulations
  • Manage staff schedules, timekeeping, and performance reviews
  • Ensure adherence to organizational policies and state/program requirements
  • Support staff development, coaching, and team performance
  • Travel as needed to support remote employees


Qualifications

  • High School Diploma or GED required
  • Experience in healthcare intake, patient registration, insurance verification, or care coordination
  • Previous supervisory or team lead experience
  • Strong communication, customer service, and leadership skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Detail-oriented with strong organizational and problem-solving abilities
  • Proficient in Microsoft Office (Word, Excel, Outlook) and database systems
  • Knowledge of insurance processes, Medicaid, or medical intake workflows
  • Ability to meet our approved driver qualifications in order to drive your personal vehicle, as required, for program-related needs (minimum age of 21 and good driving history)
