Program & Intake Specialist

The Program & Intake Specialist plays a key role in supporting clients, coordinating resources, processing financial assistance, and ensuring efficient program operations. What will you be doing in your role?

Program Operations Support

  • Assist Case Managers with coordination and provide the appropriate resources to meet individual client needs.
  • Maintain open lines of communication with Case Managers in efforts to provide the best client service possible.
  • Develop and maintain strong positive relationships with clients, partners, vendors, and community organizations to foster trust and collaboration

Client Relationship & Engagement

  • Greet clients and answer phone calls to address client needs in a patient, empathetic, professional, and timely manner.
  • Be passionate about providing the best service and experience to each client during the intake process by answering questions, assisting client with the application process, and bookings.
  • Remain informed about community partners and resources to provide external referrals as needed.
  • Maintain current knowledge of practices and issues around poverty and family self-sufficiency.
  • Develop and maintain strong positive relationships with clients, partners, vendors, and community organizations to foster trust and collaboration.

Financial Assistance Processing

  • Manage the process for transactions by conducting inquiries, managing external providers, and gathering invoices
  • Ensure accurate documentation and data entry.
  • Assist in managing financial assistance funds, including tracking expenses, managing disbursements, and ensuring cost-effective operations.
  • Maintain management of ledgers.

Documentation, Reporting, & Compliance

  • Provide administrative support to the Northwest Campus with high attention to detail, organization, and a sense of urgency.
  • Possess a high level of professionalism when dealing with confidential/sensitive information.
  • Be a team player by assisting and participating in office events, staff training/development, large events, and/or projects.
  • Submit monthly and quarterly reports.

Are you the next Program & Intake Specialist?

  • Associates Degree with 2 years of experience providing advanced level administrative support, OR a combination of education and experience required.
  • Experience with low-income populations is a plus.
  • Bilingual skills in Spanish a plus.
  • Proactive, thorough and detail oriented.
  • Must be willing to use personal vehicle for job purposes.
  • Proficiency with Microsoft Office Suite.

  • Full-time, hourly position with a starting rate of $18 per hour. Final offer is determined by relevant experience, work history, education and internal equities.
