We're hiring a Recruiting Operations Specialist to support, maintain, and improve the operational engine behind our Crisp Recruit client service offering. This person will play a critical hands-on role in keeping our systems, workflows, and client deliverables running accurately, efficiently, and on time.

You'll work across Salesforce, ClickUp, Google Sheets, Slack, Greenhouse, LinkedIn Recruiter, and related systems to manage hiring workflows, enforce data integrity, eliminate inefficiencies, and create visibility for recruiters, candidates, and clients alike.

This is not about simply tracking applicants. It is about supporting talent delivery across dozens of roles, multiple recruiting pods, and an expanding book of clients with consistency and operational excellence.

ย What You'll Do:

Recruiting Operations & Workflow Execution

  • Support and manage day-to-day recruiting operations across Salesforce, ClickUp, Google Sheets, and related recruiting systems.
  • Create and maintain role records, intake updates, recruiter and sourcer assignments, candidate packet workflows, and internal delivery systems.
  • Ensure all client-facing deliverables, including candidate presentations, updated job descriptions, and test assignments, are completed accurately and on time.
  • Help drive accountability across workflows so deadlines are met, handoffs are clean, and nothing falls through the cracks.

Systems, Process Support, & Workflow Improvement

  • Build, maintain, and improve systems, workflows, and processes designed to simplify operations, reduce manual entry, reduce human error, and support scale.
  • Use ClickUp or a similar project management platform to create and manage forms, custom fields, dashboards, task workflows, and workspace structures that support accountability and execution.
  • Identify bottlenecks and help solve real company problems through automation, structured workflows, and strong process discipline.
  • Document workflows clearly and maintain SOPs for repeatable recruiting operations at scale.

Salesforce Operations & Reporting

  • Serve as a strong Salesforce operator by building and maintaining reports, workflows, and custom fields that support recruiting operations and service delivery.
  • Maintain data accuracy and reporting visibility across the recruiting function, ensuring operational records are complete, useful, and actionable.
  • Help improve visibility into recruiter performance, pipeline health, candidate movement, backfills, and client delivery timelines.

Google Sheets & Data Management

  • Build and manage advanced Google Sheets trackers, dashboards, and reports using formulas, pivot tables, lookups, cross-sheet references, and connected data sources.
  • Use tools such as Coefficient to pull data into Sheets from Salesforce and turn it into reporting that supports decision-making and accountability.
  • Create reporting views that help leadership, recruiters, and operations teams monitor workloads, service delivery, and performance with clarity.

Cross-Functional Delivery & Client Accountability

  • Partner across recruiting, sourcing, client service, and operations teams to ensure deliverables owed to clients are executed with accuracy and urgency.
  • Support operational excellence across multiple stakeholders, helping teams work within established workflows so execution remains consistent and scalable.
  • Contribute to a high standard of responsiveness, reliability, and operational excellence across the function.

Nice-to-Have Platform Support

  • Support Greenhouse or similar ATS workflows, including opening, managing, and closing roles and adjusting recruiter and sourcer assignments.

ย Our Requirements Are Pretty Straightforward. To Qualify You Must:

We need a recruiting operations specialist who is highly autonomous, deeply accountable, technically strong, and relentless about deadlines, follow-through, and operational excellence.

  • 3-5+ years of experience in operations, recruiting operations, talent coordination, backend hiring systems, project coordination, or a closely related operational role where you were responsible for driving execution day to day
  • A true self-starter mindset with the ability to work autonomously, manage priorities, and follow through with minimal oversight
  • A proven track record of being highly responsive, reliably available during business hours, and trusted to make sure nothing falls through the cracks
  • Strong critical thinking and problem-solving ability, with experience solving real company problems through systems, workflow design, and operational discipline
  • The interpersonal judgment and organizational savvy to work across teams, navigate stakeholders well, and help people operate within established workflows
  • Salesforce expertise is a must, including building reports, workflows, and custom fields, and maintaining accurate operational records inside the platform
  • ClickUp expertise, or similar project management system expertise, including building forms, custom fields, dashboards, workflows, and managing workspaces for accountability and execution
  • Expert-level Google Sheets fluency, including formulas, pivot tables, lookups, references to other data sheets, report creation, and using tools such as Coefficient to pull in data from Salesforce
  • Proven ability to build and improve systems, workflows, and processes that simplify operations, reduce manual entry and human error, and support scalability
  • Strong project coordination and deadline management ability, with experience juggling multiple stakeholders, tasks, and deliverables at once
