Job description

One of the fastest-growing accounting firms in the country is seeking a Receptionist who is motivated to learn, excited to collaborate and passionate about delivering outstanding results. This individual will have a direct impact on our firm's mission of serving as a catalyst for those striving to achieve their highest potential. 

In this role, you will provide receptionist support for the Chesterfield location. You will regularly support database entry, electronic image retention, report and letter writing, and other administrative duties as needed. To be successful in this role, you must maintain a mature, professional demeanor while projecting self-confidence when addressing questions and handling matters involving internal and external clients. 

This position requires overtime that will be discussed in greater detail during an initial interview.

What You'll Do:

  • Greet and assist vendors, guests and clients.
  • Responsible for incoming and outgoing couriers.
  • Reconcile Courier and UPS invoices and enter charges into Axcess.
  • Mail services - occasionally run items to Post Office for metering.
  • Schedule and organize onsite and offsite meetings as needed for staff.
  • Attend to and manage all facility issues and maintenance as needed.
  • Order supplies and stock items.
  • Organize and manage supply rooms.
  • Maintain Conference Rooms (stock refreshments/office supplies).
  • Oversee catering, bar, events, and mixers.
  • Order staff lunches for meetings (on request).

What We're Looking For:  

  • Communicating effectively in speaking or writing as appropriate for the needs of the audience (e.g., in person, over the phone, etc.)
  • Managing schedules and appointments for others while simultaneously organizing own priorities.   
  • Strong project management skills and the ability to handle multiple projects at once
  • Producing letters, reports, and other documents in a professional and standardized manner. 
  • Work extended hours during peak seasons.
  • Handle requests from multiple areas of management and multi-task.
  • Provide high client service in a professional manner.

Your Qualifications:

  • High school diploma or equivalent required. 
  • 4+ years of experience in a professional support role.
  • Experience with Microsoft Office programs including Word, Excel, Outlook and PowerPoint.
  • Experience with Adobe Acrobat and PDFlyer. 
  • Experience with tax processing knowledge is preferred.
