Receptionist

Location: New York, US

Partners Group seeks a dynamic Receptionist to join our team in the New York Office. Our Receptionist will act as the first point of contact for our company, assist with office operations, and provide general administrative support across the organization. They will welcome visitors and coordinate their arrivals, book conference rooms, answer and direct incoming calls, maintain the cleanliness of common areas, respond to internal and external inquiries, work with external vendors to make sure inventory is delivered on time, keep inventory control and maintain optimal supply levels, and provide meeting and event support. They may also provide administrative support to executives and senior staff. This position reports to Partners Group's New York Office Manager and supports the Office Management Team.

Duties & Responsibilities

Reception:

  • Receive visitors at the Front Desk and provide a positive experience; greet, direct and announce them appropriately.
  • Coordinate visitor arrivals by reserving/preparing conference rooms, setting up refreshments as needed and following the building security procedures.
  • Provide concierge service for Clients as needed (wi-fi access, taxi coordination, restaurant reservations, etc.)
  • Answer, screen and forward all incoming calls from the multi-line switchboard while providing information as appropriate.
  • Maintain distribution of incoming/outgoing mail.
  • Assist with in-house catered events (e.g. set-up catering and clearing away)
  • Maintain up-to-date desk instructions and departmental materials at all times.
  • Manage expenses via SAP Concur
  • Conduct written and oral communication at the highest level of professionalism and integrity.

Office Support:

  • Set up and clean up catered breakfast and re-fill cereal dispensers in the kitchen.
  • Perform regular walkthroughs and maintain cleanliness of office facilities (reception area, conference rooms, copy room, pantry, kitchen, dishwashers)
  • Manage and maintain office supplies and pantry inventory; restock copy room and kitchen supplies throughout the day, ensure regular cleaning of espresso machines
  • Reset conference rooms between meetings (e.g. open/close partitions, straighten chairs, keep table surfaces clear, restock water bottles, keep VC wires neat)
  • Re-stock printer with printing paper
  • Proactively address any maintenance issues and field service requests for building management.
  • Pick up daily lunch deliveries from the building lobby
  • Deep clean desks for outgoing / incoming employees
  • Manage delivery room packages and unpack heavy supplies in the storage room
  • Assist Office Management team with various administrative tasks as assigned.

Partners Group compensation has a long-term outlook and philosophy, and our total compensation emphasizes performance based long term incentives. Base pay range for this role is $70,000- $85,000 and a performance-based bonus and equity are additional parts of the total compensation package.
