Job description

Key Responsibilities:
  • Manage the planning and execution of group meetings, conferences, weddings, and social events from pre-con to post-event.
  • Maintain accurate and detailed group information in Delphi, including event details, agendas, room setups, menus, timelines, and special requests. Delphi experience is required.
  • Conduct client planning meetings, pre-convention meetings, and site tours.
  • Serve as the primary point of contact for clients throughout the planning process and event.
  • Communicate event details and changes clearly with Banquets, Culinary, Front Desk, Housekeeping, Engineering, Sales, and other hotel departments to ensure everyone is fully prepared.
  • Create and distribute detailed event information, including BEOs and Resumes, conducting weekly meetings.
  • Identify opportunities to upsell food & beverage, AV, linens, enhancements, and other event services to maximize revenue and elevate the guest experience.
  • Proactively anticipate client needs and resolve issues quickly and professionally.
  • Be present during select events, which may include evening and weekend responsibilities, to ensure flawless execution and client satisfaction.
  • Conduct post-event follow-up and gather feedback to strengthen client relationships and encourage repeat business.
  • Work closely with the accounting team and client, ensuring all deposits are taken on time, and revenue is collected prior to the event date.
  • Deliver a consistently high level of personalized, luxury customer service while representing The Kingsley Hotel professionally.

Ideal Candidate:
The ideal candidate is highly organized, proactive, detail-oriented, and comfortable managing multiple events and priorities simultaneously. Strong communication skills, a collaborative approach, hospitality experience, and the ability to anticipate needs and solve problems in real time are essential. Experience with Delphi and hotel catering/conference services is required.
