Job description

Fleet Data Coordinator -
Position Summary
The Fleet Data Coordinator is responsible for managing and maintaining accurate fleet data, supporting daily fleet operations, and ensuring compliance with company policies and regulatory requirements. This role plays a key part in vehicle assignments, telematics and camera systems, fuel management, toll tracking, and overall administrative coordination of fleet activities.

Key Responsibilities
Manage vehicle and driver assignments, including fuel PIN setup and tracking
Monitor and troubleshoot telematics systems and LYTX camera issues
Conduct fuel invoice research, reconciliation, and weekly coding
Coordinate the rental and off-rental of storage units as requested
Review and reconcile tolls and traffic violations
Ensure all vehicles are properly enrolled in state tolling systems
Maintain accurate fleet records and reporting within internal systems
Support maintenance schedules and service tracking
Ensure completion of mandatory inspections and compliance requirements
Enforce adherence to company safety policies and procedures
Ensure compliance with local, state, and federal regulations related to fleet operations
Assist with additional administrative and operational fleet tasks as needed
Education & Experience
High School Diploma or equivalent required
Previous fleet administration experience preferred
Qualifications
Proven ability to manage multiple tasks simultaneously in a fast-paced environment
Strong proficiency in Microsoft Office, especially Excel (formulas, formatting, reporting)
High level of attention to detail and organization
Ability to handle confidential information responsibly
Strong problem-solving skills, especially with technology systems (telematics/cameras)
Must possess and maintain a valid driver’s license
Work Environment & Expectations
Primarily office-based with frequent coordination across departments
Requires consistent follow-up and communication with drivers, vendors, and internal teams
May require occasional field support for fleet-related issues
