Position Summary
Reporting to the Associate Director of Finance and HR Operations, the Events & Rental Manager organizes,manages, and supervises all rentals in the building. In collaboration with the Manager of Events and Communication, the incumbent will produce and publicize Academy's physical and remote events. The incumbent will provide all operational, logistical, and technical support for the growth and smooth running of the Italian Academy and its programs. The incumbent trouble-shoots technical problems for the Director, staff, and
scholars, addresses problems with printers and copy machines and assists post-doctoral scholars with the technical preparation of their seminar presentations each week. The incumbent will liaison with CUIT and outside vendors in trouble-shooting computer and cell phone concerns for the Director and will assist staff and Fellows with technical issues. Facilitate building improvements and repairs as per direction of senior management. The incumbent will be communicating with Columbia departments (Custodial, Labor, Security, AV, CUIT) and outside vendors to coordinate event, maintenance and repair services for a 100-year-old, landmarked building.
Responsibilities
  • The incumbent is in charge of renting the Teatro, Library, Salone, Conference room and Exhibition space for the Italian Academy. The incumbent the setup of rooms for public and internal events (placement of lectern, tables, chairs, microphones, batteries, coat racks).
  • Assist with all audio visual and technical aspects of the Academy's operations, including facilitating the purchase of technical equipment (computers, cameras, teleconferencing screens, projectors and microphones) and assisting with reviewing and evaluating proposals for equipment and building repairs before sending them to senior staff for consideration.
  • Manage and track rental income. Promote the advertisement of the rental space. Will work to maintain and improve the spaces of the Academy. With regard to the building, the incumbent will regularly study institutional guidelines to coordinate compliance
    requirements. In charge of the maintenance of the building and communicating with the proper parties to make sure everything is taken care of in a timely matter.
  • In collaboration with the Manager of Events and Communication, the incumbent produces and publicizes Academy's physical and online events. The incumbent will provide logistics, marketing and administrative expertise to the Academy's senior leadership. The incumbent will provide on-site support such as video taping and editing videos. The incumbent will assist with the implementing a communications plan for promoting events and to ensure appropriate media and social media coverage. The incumbent supports the senior leadership in ensure alignment with all applicable Columbia University's policies and standards.
  • Participates in ad hoc projects and department requests. Performs related duties & responsibilities as assigned/requested.

Minimum Qualifications
  • Bachelor's degree and/or equivalent.
  • Minimum of three to five years related experience.
  • Must also be knowledgeable in the use of electronic media and audio visual equipment. Must have excellent communication skills, and ability to work in a team environment and to perform under stressful situations. Ability to work frequent evenings and weekends as operational needs require. Some early mornings are needed as operational needs require.

  • Bachelor's degree preferred.
