Job description

Position Summary:

The Payroll and Administrative Coordinator is primarily responsible for the accurate and timely processing of payroll while providing administrative support to the Human Resource Manager. The role supports benefits administration, payroll compliance, and benefit and retirement funding reconciliations. An accounting or bookkeeping background is strongly preferred. This position follows a hybrid work schedule based on the payroll processing calendar and business needs.

Essential Duties:

• Process payroll accurately and on schedule.
• Review timecards, payroll adjustments, deductions, bonuses, and reimbursements.
• Coordinate payroll submissions with the payroll provider.
• Maintain payroll records and reports.
• Ensure compliance with payroll laws and company policies.
• Reconcile benefit invoices and employee deductions.
• Assist with retirement plan funding reconciliations.
• Support benefits administration and enrollment changes.
• Maintain employee personnel files and HR records.
• Assist with onboarding, reporting, audits, and HR administrative projects.
• Support workers' compensation administration as needed.
• Perform other administrative duties assigned by the Human Resource Manager.

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

  • High school diploma or equivalent required; Associate’s degree in Human Resources, Business Administration, Accounting, or a related field preferred.
  • At least 3 years of administrative or HR support experience preferred.
  • Basic accounting, bookkeeping, or payroll processing experience preferred.
  • Strong proficiency in Microsoft Office Suite including Excel, Word, Outlook, and PowerPoint.
  • Strong organizational skills and attention to detail.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Strong written and verbal communication skills.

Required Attributes:

  • Experience with payroll and HRIS platforms such as Paychex, ADP, or Paylocity.
  • Hospitality industry experience supporting hourly workforce environments.
  • Bilingual in English and Spanish is a plus.
  • Familiarity with workers’ compensation reporting and HR administrative processes.
  • Keen attention to detail and awareness of the environment.
  • Excellent problem-solving skills.
  • Ability to multi-task and manage multiple projects.
