Job description

We are seeking a highly organized and responsible Office Manager to oversee our administrative operations. On a daily basis, you will organize files, review bills and accounts payable, answer calls and respond to client questions, schedule appointments, and process payroll. You’ll be joining a team that appreciates hard work, encourages growth, and is excited to welcome the right person aboard.


Responsibilities

  • Manage scheduling, budgeting, and payroll
  • Answer phones & monitor emails
  • Office supply purchasing
  • General office cleaning
  • Payment collection - current & past due accounts
  • Asset list management
  • Data Entry into several spreadsheets
  • Send & request W-9's & COI's
  • Marketing (Via Facebook at the moment)
  • Complete various state required filings for compliance
  • Insurance related tasks for compliance
  • Tax related tasks for compliance


Bookkeeping Duties

  • Upload docs for bookkeeper month end
  • Budget
  • P&L reconcile & adjustments
  • Payable coding/dating & entry into Quick Books online
  • Process check (back up to office assistant)
  • Accounts receivables
  • Deposits
  • Monitor bank account & credit card balances


Qualifications

  • Associate degree preferred
  • Quick Books experience
  • Proficient computer skills, including Microsoft Office Suite
  • Experience in an administrative, customer service, or other related role
  • Basic knowledge of accounting
  • Excellent communication and organizational skills
