Receptionist/Assistant Bookkeeper

You'll be the welcoming face and voice of Cypress Homes while providing dependable administrative and bookkeeping support throughout the company. This role is ideal for someone personable, accurate, organized, and equally comfortable assisting a visitor, coordinating a meeting, entering an invoice, or tracking down a missing receipt.


Key Responsibilities
Reception and Administrative Support
  • Greet and assist visitors in a friendly and professional manner
  • Answer, screen, and direct incoming telephone calls
  • Manage incoming and outgoing mail, deliveries, and packages
  • Maintain a clean, organized, and welcoming front office and design area
  • Coordinate appointments and meetings and assist with calendar maintenance
  • Copy, bind, and distribute project contracts
  • Create project files and maintain blueprint and document-storage areas
  • Keep office supplies stocked and organized
  • Assist departments with mailing, research, scanning, copying, filing, and other administrative projects
  • Provide occasional executive or personal-assistant support, such as research and coordination of small projects
Bookkeeping and Accounting Support
  • Enter project bills, recurring operational bills, and credit-card charges
  • Match receipts to credit-card statements and research discrepancies
  • Assist with vendor-statement reviews and research aging balances
  • Prepare project draws and update project cost breakdowns for review
  • Reconcile, scan, label, attach, and file paid draw documentation
  • Create and update vendor and customer profiles
  • Enter approved project change orders
  • Gather, organize, verify, and prepare completed job files for storage
  • Collect and maintain vendor certificates of insurance
  • Maintain drafting-agreement, billing, and builders' risk insurance logs

  • Support sister companies with accounts receivable, accounts payable, bank reconciliations, and client or vendor communication
Qualifications

Anticipated Fall Start

Pay Range: $15.00 to $17.00 per hour, depending on experience
