Like all positions on our small team, this role blends strategy with execution. One moment you may be working with a major sponsor, the next writing auction descriptions, organizing donor communications, or coordinating event logistics. If you enjoy variety, collaboration, and making an impact, you'll thrive in this role.

  • Conduct sponsor outreach, follow-up, and relationship management
  • Track sponsorship commitments and fulfillment
  • Collect logos, advertisements, and recognition materials
  • Coordinate sponsor benefits and ensure deliverables are completed
Auctions & Artist Relations
  • Review artist submissions and manage project setup in Submittable
  • Communicate with artists regarding selection, logistics, and timelines
  • Write and edit auction item descriptions
  • Manage online auctions through Bidsquare
  • Coordinate artwork intake, storage, tracking, fulfillment, and shipping
  • Support live auction planning and post-auction reconciliation
Gala & Patron Events
  • Coordinate venues, vendors, performers, and event logistics
  • Manage ticketing, guest lists, meal selections, and dietary requests
  • Assist with event collateral using Constant Contact and Canva
  • Support planning and execution of fundraising events and patron experiences
Donor Engagement & Fundraising
  • Assist with donor stewardship and fundraising communications
  • Support annual appeals and sponsor follow-up
  • Draft and edit donor correspondence and recognition materials
Database & Project Management
  • Maintain accurate donor records in Bloomerang
  • Track sponsorships, auction activity, guest lists, and fundraising projects
  • Organize shared files, timelines, and project plans
  • Help keep multiple development initiatives moving simultaneously

  • Excellent organizational and project management skills
  • Strong written and verbal communication skills
  • Ability to manage multiple priorities while maintaining attention to detail
  • Experience with CRM/database management (Bloomerang or similar preferred)
  • Experience with Canva (Adobe InDesign a plus)
  • Proficiency with Google Workspace and Microsoft Office
  • A collaborative, positive attitude and willingness to jump in wherever needed
  • Passion for the arts and strengthening communities
