JOB DESCRIPTION:
The Human Resources Coordinator is the key administrative support for the department responsible for a variety of HR tasks. The primary duty of this role is to collect and manage all data pertaining to the employees and assisting with the daily operation. Additionally, a large focus will be prioritizing our internal communications, employee events and all visuals for the HR department. The ideal individual is creative, task focused and a true "Cheerleader" for the team. It is essential for the HR coordinator to have the necessary passion and drive to prioritize our internal customers and take our employee engagement to the next level.
JOB ROLES AND RESPONSIBILITIES:
• Assist with the Daily operation and respond to internal and external HR related inquiries or requests and provide assistance.
• Experiment with new, creative ways to engage our team members and initiate team-building activities.
• Lead the Events Committee group and the execution of the events.
• Develop and drive communications that engage and inspire in accordance with departmental goals and day-to-day needs.
• Routinely measure the impact on all HR communications and analyze its quality assurance.
• Write, edit and publish all HR communications through our Communications Platform, including but limited to, monthly birthdays, anniversaries, milestones, promotions, specific departures, emergency announcements, building updates, and others.
• Cascade global communication to applicable team members and assist with managing the Emergency Alert System.
• Take the lead in all social employee engagement events, milestones, and administration of the Employee of the Quarter Program. Assist C-Suite Executive Administration with quarterly Town Hall events.
• Assist the Benefits Manager as needed with the coordination and set up of Employee Wellness Programs such as 5k events, Blood Drives, Massage Mondays, etc.
• Schedule meetings, HR events etc. and maintain the team's shared calendar. Maintain Global VP of HR's agenda. Create itineraries coordinating training sessions and seminars, if needed. Administer Employee Surveys to gain feedback on HR efforts including employee engagement events.
• Assist HR Generalist on the refresh and update our ADP Homepage, as needed.
• Assist with recordkeeping for I-9 audits, new hire forms, and employee updates.
• Assist with recruitment and on-boarding process as needed. Including, but limited to, facility tour, communications of new hire announcements, swag bag preparation.
• Manage the HR inboxes and calendars
• Manage full HR events coordination.
• Maintain all Internal Contact Lists, including the Global Direct Reports to Report. Submitting to IT Infrastructure and Public Relations to maintain contact lists and reporting structures current.
• Approve business card orders.
• Create and process purchase orders for the department and events committee.
• Dispensing security badges and keys to new hires; deactivating security badges when necessary.
• Assist the Director of Training and Development with administrative tasks, as needed.
Administrative Duties:
• Assist Global VP of HR as needed with administrative tasks such as calendar schedules, flight/hotel requests, expense reports.
• Coordinate all meeting arrangements for all in-house and off-site meetings.
• Support the HR department with event calendars, keeping record of key deadlines, and ensure that all events/special projects run efficiently and effectively.
• Organize birthday and anniversary celebrations for all staff within the department
• Order and receive office supplies and Welcome Kit items for the department as needed
• Order and keep inventory of all HR related items.
COMPETENCE REQUIREMENTS:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Qualifications include:
• Outstanding verbal, written and interpersonal skills
• Ability to organize and prioritize multiple projects, activities and deadlines
• Ability to work independently and with initiative
• Ability to develop relationships at all levels in production and support areas
• Ability to work positively and productively in fast-paced environment
• Experience with HRIS and application tracking systems
• Working knowledge of ADP Workforce Now a plus but not required
• Working knowledge of legal compliance within HR, i.e. FMLA Laws, Harassment, ADA
• Must have a high level of proficiency in use of Microsoft Office - Word, Excel and PowerPoint
• Must have strong process-orientation and a heightened attention-to-detail
• Experience with employee engagement
• Experience with Canva and Constant Contact a plus
EXPERIENCE:
Outlined below are the academic qualifications and length and type of experience deemed necessary by Unique Vacations Inc. in order to perform the role of Human Resources Coordinator competently.
Education: Bachelor's Degree in Human Resources, Business Administration or a related field preferred
Experience: Minimum two years' experience in a Human Resources role.
