Job description

Executive Assistant – Travel

LaSalle Network has partnered with a rapidly growing technology company in Chicago's River North neighborhood that is redefining global digital security and building the infrastructure of the future. As the organization continues its global expansion, they are seeking an Executive Assistant – Travel to manage complex domestic and international travel for the CEO, executive leadership team and employees. This is a highly visible role responsible for delivering a seamless, white-glove travel experience in a fast-paced, high-performance environment. The ideal candidate is proactive, exceptionally detail-oriented and thrives on anticipating challenges before they arise. Given the global nature of executive travel, this individual must be comfortable responding to urgent travel needs outside of standard business hours when necessary.

Executive Assistant – Travel Responsibilities:

  • Coordinate complex domestic and international travel, including flights, hotels, ground transportation, visas and detailed itineraries.
  • Monitor travel in real time, proactively resolving delays, cancellations, weather disruptions and schedule changes to ensure seamless executive travel.
  • Manage relationships with airlines, hotels, car services and private aviation vendors while negotiating preferred rates when appropriate.
  • Coordinate multi-city travel across multiple time zones while balancing changing executive priorities.
  • Oversee travel approvals, expense reporting and receipt reconciliation with exceptional accuracy.
  • Provide administrative support to the Office of the CEO during slower travel periods, including scheduling, special projects and handling confidential information.

Executive Assistant – Travel Qualifications:

  • 3-7+ years of experience in executive assistance, executive travel coordination or corporate travel management.
  • Demonstrated experience managing complex domestic and international travel for C-suite executives.
  • Strong understanding of global travel logistics, visa requirements and multi-time-zone scheduling.
  • Established relationships with premium travel vendors, luxury hotels, transportation providers and private aviation partners preferred.
  • Exceptional organization, professionalism and problem-solving skills with the ability to thrive in a fast-paced, high-expectation environment.
  • Highly responsive and adaptable, with the ability to manage urgent travel needs outside of standard business hours when necessary.
  • Ability to handle highly confidential information with the utmost discretion.
