Job Description

SUMMARY:

Reporting to the Director of Housing Operations and Logistics, in the Office of Residence Life, the Assistant Director, Assignments and Operations oversees the operational and systems-based functions of housing assignments and occupancy management for the residence halls. Working closely with departmental and campus partners, the position manages room assignments, cancellations, waitlists, move-in/move-out processes, and summer housing operations to support maximum occupancy and a seamless residential experience. The role serves as a key liaison for housing software, policies, reporting, and communications, including marketing, web presence, and student messaging, while ensuring consistent application of housing policies and supporting major departmental events and emergency coverage.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Collaborate with the Director on occupancy planning and modelling for each academic year based on the needs/requirements of the University.

  • Ensure maximum occupancy by generating, running and reviewing daily reports and completing appropriate follow-through actions with staff members.

  • Utilize and maintain proficiency in housing software to manage day-to-day assignments, room changes, vacancies and reassignments, and provide professional, customer service-oriented responses to students and parents with housing issues.

  • Manage the cancellation process for residence hall housing agreement releases.

  • Design and produce data driven reports for the department of Residence Life that identify key metrics to support strategic decision making.

  • Evaluate and appropriately recommend system enhancements and functionality within the Housing Software, including the development and implementation of all policies, procedures and training for staff related to housing software and communication.

  • Interpret and communicate procedures and regulations pertaining to housing policies to ensure consistent application of these policies throughout the department.

  • Grow and develop marketing strategies to promote housing accommodations using social media and communication channels available at the University.

  • Design and implement all housing assignment processes for new and returning students, including the management of compliance requirements for all residential students.

  • Work in conjunction with the Disability Resource Centre on resident student accommodations. Partner with other campus partners to prepare the Red Hawk Central for opening.

  • Oversee and manage the operations required for all move-ins and move-outs, including residents, summer programs, and conferences with the Housing Operations team in collaboration with Residence Education.

  • Serve as the primary liaison between the Office of Residence Life and the Office of Student Communications, ensuring clear, timely, and effective communication between both units.

  • Develop, design, and maintain the Office of Residence Life website, as well as create and manage the social media, email, and marketing content.

  • Participate in the Manager on Call duty rotations to support residential operations and student needs after standard business hours.

  • Represent the Office of Residence Life at key university programs and events such as Open House, Admission events, and Welcome Week.

  • Perform other related duties as assigned.

  • Management retains the right to change or add job duties at any time.

QUALIFICATIONS:

REQUIRED:

  • Master's degree from an accredited university in Student Personnel, Student Affairs, Higher Education, Administration or related field.

  • Minimum of two years of professional Residential Life experience within higher education or a related field.

PREFERRED:

  • Previous experience with residential life room assignments, including day-to-day response to room changes, vacancies and reassignment of rooms.

  • Working knowledge of a Housing Software.
