Receptionist / Admin Assistant

KASA, one of the leading heavy-civil construction engineering companies in Southern California, is seeking a Receptionist / Admin Assistant who desires to be part of a talented team bidding high profile projects across Southern California.

What You'll Do:

  • Providing administrative office support as needed may include assistance with Estimating, Project Management, Payroll Department, HR or General Office duties
  • Scan, sort and/or route invoices for approvals
  • Enter Invoices in Accounting Software ( Foundation Software )
  • Verifying the accuracy of Invoices by cross-referencing Shipper Tickets and Purchase Orders
  • Gather proper releases, certified payrolls, etc. from Subcontractors
  • Gather proper releases from all other Vendors
  • Verify Pre-lims on file for each vendor
  • Review and rectify statements and job material tickets
  • Preparing all Invoices for timely payment
  • Negotiate Invoices and Credits as necessary
  • Verify vendor statements reconciliation
  • Locate and retrieve invoice backups, maintain return receipts, file payments, and route as needed
  • Filing various documents
  • Diligently work in a deadline-intensive work environment and possess organizational and multi-tasking skills as needed
  • Data Entry on Credit Card Transactions
