Job description

Job Summary:

We are seeking a professional, friendly, and detail-oriented receptionist to join our law firm specializing in real estate, business and construction litigation. The receptionist will be the first point of contact for clients and visitors, ensuring a positive experience while managing a variety of administrative and office tasks. The ideal candidate should have excellent communication skills, an ability to multitask, and a basic understanding of legal terminology, particularly related to real estate and construction law.

Key Responsibilities:

  • Client Interaction: Greet clients and visitors in a professional and courteous manner. Answering and screening phone calls, taking messages, and directing calls to the correct party. Responding to customer inquiries and requests in a timely and friendly manner.
  • Scheduling: Manage attorney schedules, coordinate meetings, and confirm appointments. Scheduling consultations; legal calendaring.
  • Document Handling: Prepare, organize, and maintain legal documents and files. Ensure that all correspondence is scanned labelled, filed, and handled appropriately.
  • Front Office Management: Maintain the reception area, ensuring it is clean, organized, and welcoming.
  • Client Intake: Collect necessary information from clients and assist with initial intake forms.
  • Mail and Deliveries: Sort and distribute incoming mail. Prepare outgoing mail and packages.
  • General Administrative Support: Assist with light typing and/or drafting letters; Keeping track of office supply inventory and restocking as needed; file management, and other administrative duties as needed.  Performing clerical tasks like filing, transcribing, and faxing.

Qualifications:

  • Education: High school diploma or equivalent. Additional certification or coursework in office administration or paralegal studies is a plus.
  • Experience: At least 1-2 years of experience in a receptionist or administrative role, preferably within a legal or real estate setting.
  • Skills: Strong communication skills, both written and verbal. Excellent organizational skills and attention to detail. Ability to handle sensitive and confidential client information with discretion.
  • Software Knowledge: Familiarity with office software (Microsoft Office Suite, Adobe, Google Workspace, etc.). Experience with legal management software, such as Abacus, is a plus.
  • Other: Ability to handle a fast-paced environment, self-starter, and work independently. Professional demeanor and ability to represent the firm in a positive manner.

Preferred Skills:

  • Experience in a legal or real estate office is highly desirable.
  • Bilingual (Spanish/English) is a plus but not required.
  • Accounting experience is a plus but not required.
