JOB SUMMARY:

Our dynamic Case Management team is seeking a full-time Assistant Operations Manager (REMOTE) to play a key role in supporting the daily operations of our Case Management team. This position is responsible for executing a variety of non-clinical, process-driven tasks that ensure smooth workflow across systems, accurate data management, and high-quality service delivery.The ideal candidate thrives in a fast-paced environment, is highly organized, and can manage multiple priorities while maintaining accuracy and attention to detail.

KEY RESPONSIBILITIES:

  • Referrals: Manage referral intake and assignment, including referencing referral maps and handling declines.
  • File Management: Perform file setup, organization, and maintenance within internal systems
  • Mail & Distribution: Process incoming and outgoing mail, including report and invoice distribution, faxing, and document handling
  • Case Management Support: Assist with medical record processing, case support tasks, and customer service inquiries
  • Review & Approvals: Manage Review Tab activities, including random sampling and case manager expense approvals
  • Medical & Financial Processing: Support workflows related to medical record payments, provider pre-payments, and release of information
  • Documentation & Compliance: Ensure all state forms and required documentation are completed accurately and in compliance with client requirements
  • Data Transfers: Ensure timely and accurate transfer of nurse notes, scorecards, and supervisor review data
  • Systems & Processes: Support internal systems, including contact management and API-related workflows (e.g., GBCARE API)
  • Data Entry: Complete accurate and timely data entry and ongoing data maintenance.
  • Cross-Functional Collaboration: Partner with internal teams and stakeholders to ensure operational efficiency and service quality

QUALIFICATIONS:

Education:

  • High school diploma or equivalent (required)
  • Some college coursework or equivalent experience (preferred)

Experience:

  • Experience in administrative, product support, customer service, or similar roles required.
  • Experience with billing, data entry, or healthcare-related workflows preferred.
  • Experience working in fast-paced, process-driven environments preferred.

WORKING CONDITIONS:
