Position Summary

The Administrative Assistant, Engineering provides administrative, operational, and coordination tasks for NRMCA's plant certification program and assists with additional administrative tasks. The position helps ensure that submissions for certification are processed, documented, and communicated in a timely and consistent manner. The position also provides administrative support for Association's events and activities as requested.

This position works in concert with the Manager of Engineering and Operations and under the direction of the Executive Vice President of Engineering. Processing certifications should abide by within the established policy and standards established for the program. The Administrative Assistant does not establish program policy or process but is encouraged to propose and implement efficiencies to procedures in concurrence with the Manager and Executive Vice President to ensure timely written and verbal communication and establish reliable and responsive processing of certification.

This role includes management of records on established certification and library databases, generating invoices and processing payment for department services, assisting with content and shipments for association meeting events, and timely response to email and phone messages. development.

Primary Responsibilities

Plant and Truck Certification Administration & Records Management

Administers certification processes and records in accordance with established standards, helping ensure accurate documentation, reliable workflows, and timely participant support.

  • Administer plant and truck certification processes, including submissions, reminder for renewals, payment processing, and related participant communications.
  • Maintain certification records and support documentation.
  • Verification of credentials and approval of inspectors and assistants and maintain records.
  • Respond to certification inquiries, resolve routine questions, and route technical or policy questions to the Executive Vice President as appropriate.
  • Support transition of database to new system and propose and implement improvement in workflow

Administrative Support

Supports engineering and operations divisions with administrative activity.

  • Assist with invoicing and report dissemination for laboratory services.
  • Support compilation of meeting content, awards, and shipments for association events.
  • Support activities as needed for awards and certification from the operations department.
  • Maintain literature database.
  • Supporting membership growth is related to certification requests from non-members.
  • Understand responsibilities of other departments to route inquiries to support consistent communication of stakeholders
  • Participate in meetings and discussions assigned.

Qualifications

Required

  • Bachelor's degree preferred or equivalent combination of education and relevant experience will be considered.
  • Two or more years of experience in program coordination and administration, certification support, association operations, customer service, database support, or a related role.
  • Organized with planning and scheduling activities to achieve target time goals for relevant programs.
  • Strong written and spoken English communication skills and ensure timely response to request for support.
  • Experience maintaining accurate records, coordinating workflows, supporting customers or participants, and managing details across multiple deadlines.
  • Working knowledge of Microsoft Office, including Word, PowerPoint, Excel, Outlook, and Teams.
  • Ability to learn and use association management databases and other technology resources needed for performing job functions
  • Ability to work in a matrixed environment across departments and with internal and external stakeholders.
  • Self-starter to pitch in and support other association needs to achieve deadlines when time available

Preferred

  • Association or nonprofit experience.
  • Experience supporting certification, credentialing, and professional education programs.
  • Experience working with database platforms and other technical systems or tools.
