Job description

SUMMARY: With minimal supervision, performs administrative and business support duties often of a confidential and complex nature. This position supports the Assistant Dean for Student Success, the Directors Student Success, and the Director of Student Engagement and Scholarships. This individual will interface with School of Nursing students, faculty, staff, and administrators and office personnel across the UAB campus. Independently, in a confidential and professional manner, prepares correspondence, creates, establishes and/or maintains records, charts, graphs, spreadsheets, and databases. Processes and manages expenditures for department and student associations against monthly account statements. Maintains/establishes filing systems and may perform other duties of a routine or non-routine nature as required by the Assistant Dean or Directors. Discretion and judgment should be used when planning and organizing work.
RESPONSIBILITIES:
1. Processes and tracks all expenditures/credits, monitors and manages department and student association budgets, including travel request for faculty and staff related to Student Success activities the receive Student Success funding.
2. Responsible for accurate input, maintenance, and management of appropriate databases.
3. Composes, types, updates, proofreads, and edits copies of general correspondence, memos, brochures, forms, recurring reports, and bulletins. Types and monitors correspondence by electronic mail.
4. Provide administrative support for committees as requested - minutes, agendas, arrangements, etc.
5. Assists in advising students of admissions processes.
6. Oversee compliance with student background check and drug screening completion.
7. Manages department equipment and supplies.
8. May interview, make recommendation for hire, train, and supervise work study students.
9. Acts in a caring and courteous manner toward all users/visitors in the following ways: uses positive interpersonal skills to alleviate concerns and frustrations of students, other staff, and faculty; to provide assistance in a timely manner, references appropriate procedures in a calm and courteous manner; acts always in a professional and confidential manner with respect to all information and records.
10. Participates, assists in the coordination, and ensure funding requests are submitted and processed related to SON events such as recruitment, award, or student events.
11. Maintains current knowledge of departmental policies, procedures and regulations, and provides information and assistance as needed to facilitate the daily operations of the office.
12. Performs other related duties as directed to support the missions of the School of Nursing.

Qualifications
Bachelor's degree in a related field and one (1) year of related experience required OR an equivalent combination of relevant education or experience (a high school diploma and a minimum of five (5) years of progressively responsible administrative support or office management experience). May require database management skills, financial/budget experience, prior supervisory experience and/or demonstrated knowledge of UAB specific policies and procedures. This position requires someone with strong organizational, communication, and interpersonal skills.
