Job Description

POSITION SUMMARY

The Archivist worksย as a member of the Communications Departmentย and supports the New World Symphony (NWS) in preserving past and documenting current organizational activities and materials, responding to internal and external archival requests, accession materialsย andย assistingย withย strategic communications.ย ย 

DUTIES AND RESPONSIBILITIES

  • Collect,ย documentย and store all significant organizational materials, both print and digital, inย a timely, efficient fashion using NWS'sย identifiedย processes and Digital Asset Management System (DAM), Cantoย 
  • Maintain guidelines and procedures for records identification and archival processing, including identification and collection of digital files from key internal staff and departmentsย ย 
  • Process, digitize, and preserve legacy archival collections while curating newly created, digital photo and video assets.ย Directly responsibleย for the oversight, maintenance, andย leveragingย of NWS's Michael Tilson Thomasย (MTT)ย Collection. In close collaboration with MTT's team, the Archivist acts as curator for legacy photo, A/V, and press coverage directly and tangentially related to Michael Tilson Thomas and his tenure asย Co-Founder,ย Artisticย Directorย and Artistic Director Laureateย of NWS.ย Manipulate and manage new and old digital files for inclusion and easy access withinย Cantoย using best practices, including adjusting fileย namesย and creating systematic metatagsย 
  • Workย across departmentsย to implement the best asset organization and taxonomy for browsing and searching for assetsย 
  • Collaborateย onย and provide assets for internal and external projects related,ย but not limitedย to:ย institutional history, storytelling, events, programs, and individual & corporate sponsorsย to support the goals and pillars of NWS, the Archives, and the Communications departmentย 
  • Manage user access toย Canto, stepping in to help problem-solve orย locateย informationย and assetsย as neededย 
  • Train applicable new hires on how to access and useย the DAM, as well asย providingย continuous training on any changes to the processย as needed
  • Communicate with DAM provider to request tools andย solicitย upgrades for streamlining content creation, tagging, and publishingย 
  • Respond to internal and external requests for archival materials inย a timelyย fashionย 
  • Manage accession materialsย acquiredย by gift or bequestย 
  • In consultation with theย Director ofย Communications and NWS's content calendar, coordinate andย assistย withย original content for the NWS newsfeedย 
  • Stay informed aboutย new trendsย and/or opportunities that could further NWS's strategic initiativesย ย 
Qualifications

EDUCATION AND EXPERIENCE

  • Experience with Digital Asset Management (DAM) software preferred
  • Experience with archival best practices, Encoded Archival Description (EAD metadata and handling various types of materials preferred
  • A bachelor's degree, or current enrollment in a degree program, is preferred
  • An equivalent combination of education and experience may be considered

KNOWLEDGE, SKILLS AND ABILITIES

  • Ability to interact effectively and respectfully as a team player with a variety of peopleย 
  • Excellent written and oral communication skillsย 
  • Highly organized with attention to detail and qualityย 
  • Ability to manageย numerousย projectsย simultaneously,ย in a demanding, multi-activity work environment, and meet deadlines.
  • Proficiency in MS Office Suite, Adobe Creative Cloud and Digital Asset Management software
  • Photography experience is a plus
