Job description

Description

The Accounting Associate reports to the Senior Financial Analyst and is responsible for supporting the Finance Department by managing records, processing transactions, preparing contract templates, preparing departmental reports, and ensuring compliance with accounting standards.


This part-time position is based out of the North Carolina Museum of Art in Raleigh with support in Winston-Salem on an as-needed basis. 


Responsibilities

  • Manage incoming inquiries.
  • Process documentation for CRM - Tessitura.
  • Prepare and submit daily deposit (i.e., bank and/or remote check deposit).
  • Ensure all proper documentation and backup for cash receipts are included in accounting system.
  • Create journal entries. 
  • Prepare subsidiary ledgers with supporting documentation and related reporting as necessary, including reconciliation/research with donor database and gift processing department.
  • Monitor accounts receivable aging for status and research account issues in a timely manner.
  • Create and upload invoices to the accounting system. 
  • Support the month-end close. 
  • Support team members in the development and creation of contract proposals, service agreements, and purchase contracts to support organizational goals through the project management system and route for signature.
  • Maintain standard templates for new contracts. Review and update existing contract templates.
  • Review agreements for proper coding and ensure budget status.
  • Ensure all deadlines and conditions described on contracts are met.
  • Ensure all records are accurate and up to date, including W-9s.
  • Maintain organized system of physical and digital records, including electronic list of vendor agreements.
  • Improve processes and procedures and provide documented SOPs.
  • Work cross functionally with other departments throughout the organization.
  • Support additional projects and reporting as needed.
  • Perform all other duties as assigned.

Requirements

  • Strong organizational skills, detail oriented, and results driven
  • Proficient in MS Office and Intacct accounting software
  • Experience with project management and Docusign
  • Ability to manage multiple priorities while meeting tight deadlines
  • Must be a motivated self-starter with the ability to work independently and as part of a team
  • High level of business acumen, confidentiality, accuracy, honesty, and integrity
  • Must be resourceful, flexible, and adaptable in order to identify, initiate, and support needed change 
  • Strong written and verbal communication skills
  • Tact, diplomacy, and confidence to work with all levels of staff

Education and Experience

  • Associate's or Bachelor's degree in Accounting/Business or equivalent and at least two years of related experience
  • Nonprofit experience highly desirable
