Position Summary:

The DOT Administrator provides administrative and program support and assists in the day-to-day coordination of the Company's compliance activities. This position supports compliance programs related to Driver Qualification (DQ), drug and alcohol testing, regulatory requirements, customer compliance obligations, and related reporting activities under Federal and State DOT regulations, the Federal Motor Carrier Safety Administration (FMCSA) and Pipeline and Hazardous Materials Safety Administration. (PHMSA).


Responsibilities

The DOT Administrator serves as a liaison between internal departments and third-party compliance vendors, helping to ensure compliance-related activities are completed in a timely and efficient manner. This role supports by coordinating communications, monitoring reports, tracking action items, and assisting with audits and compliance initiatives.

Compliance Program Support

  • Assist with the administration and coordination of compliance programs and initiatives.
  • Support the implementation of compliance policies, procedures, and regulatory requirements.
  • Coordinate communications between third-party compliance vendors and internal stakeholders.
  • Track compliance-related action items and assist with follow-up activities as directed.

Driver Qualification & Drug Testing Support

  • Review vendor-generated compliance reports and send notification of outstanding items requiring attention to Operations
  • Assist with monitoring CDL expirations, medical certifications, MVR reviews, and other driver qualification requirements.
  • Coordinate employee and supervisor notifications regarding upcoming compliance deadlines.
  • Assist with communication and coordination related to random, post-accident, reasonable suspicion, and return-to-duty drug and alcohol testing requirements.
  • Assist with the Substance Abuse and follow up program.
  • Assist with monitoring and auditing the Clearinghouse Drug & Alcohol program, including processing queries.

Operator Qualification & Training Support

  • Coordinate employee notifications regarding qualification renewals, training requirements, and certification deadlines.
  • Support reasonable suspicion training for the field and office supervisors.

Audit & Reporting Support

  • Assist the Compliance Manager with internal, customer, regulatory, and third-party audits.
  • Coordinate requests for documentation from third-party administrators and internal departments.
  • Prepare reports, spreadsheets, presentations, and compliance summaries.
  • Maintain compliance tracking tools and assist with monitoring key compliance metrics.

Administrative Support

  • Provide administrative support.
  • Coordinate communications, and support compliance-related projects.
  • Maintain confidential employee and company information.
  • Perform other duties and special projects as assigned.

Required:

  • High school diploma or equivalent.
  • Two or more years of administrative, compliance, safety, fleet, human resources, or operations support experience.
  • Strong organizational and communication skills.
  • Proficiency in Microsoft Office, including Excel, Word, and Outlook.
  • Self-starter with the ability to manage multiple tasks and priorities while meeting deadlines.
  • Ability to maintain confidentiality and exercise sound judgment.

Preferred:

  • Experience supporting DOT, FMCSA, utility, construction, transportation, or energy operations.
  • Familiarity with Driver Qualification programs, drug and alcohol testing requirements, and Operator Qualification programs.
  • Experience working with third-party compliance vendors and regulatory reporting.

Hourly Range: $29.00 - $43.00 hourly / DOE
