Job description

Amazon Advertising People eXperience and Technology (PXT) is seeking a Executive Assistant to provide single-threaded support to the PXT (HR) Directors located in our New York office and supporting Tech, Sales and Marketing organizations. This is a great opportunity to join a high functioning team with plenty of new challenges & responsibilities for you to grow and further your professional career.
From Day One, this role will focus on keeping the organization's leader and team organized, informed, and on task. High-level calendar management and scheduling will require extremely high standards and attention to detail, as well as superb time management and organizational skills

You should be comfortable juggling multiple priorities, have the ability to manage last-minute escalations with grace, and serve as a leader in the team- helping to develop, mentor, build community among, and partner with other Executive Assistants throughout the organization to get things done.
You must dive deep to understand the organization and business priorities, then proactively anticipate needs and drive improvements. For example, you should learn the team well enough to anticipate, schedule, plan and execute events (ranging from regular culture-building events in key offices to large-scale summits for several hundred people). You will be a self-starter - proactively working through ambiguity, thinking big about the organization, looking around corners, and proposing ideas and options before you're asked, including new mechanisms or ways of working that will help strengthen the org

In doing so, you will need to be a simplifier for the Directors and the entire org.
This role requires professionalism, integrity, and discretion in handling confidential information. You should be resourceful, forward-thinking, and a creative problem solver.
We are a highly collaborative team, and in this role, are seeking someone who is both comfortable working independently, and will actively engage in helping to shape and nurture our team culture.
This role requires five (5) days a week in office.
Key job responsibilities
Responsibilities include but are not limited to:
- Own complex calendar and scheduling
- Own domestic and international travel
- Manage expense report coordination and submission
- Be a self-starter who proactively cuts through ambiguity - identifying issues and opportunities and proposing ways to address them
- Proactively develop, organize, plan and execute or assist with team activities (Staff meetings; All-Team meetings; Off-Sites; and team social events/recognition). This includes proactively building out quarterly and annual calendars of events, and developing recommendations about cadence and content for events
- Track and help drive completion of key deliverables and follow up on overdue items
- Manage team space, including moves, new hire location assignments, and re-configurations (responsible for driving both for logistical details and change management with the team)
- Work closely with the leadership team and our business partners
- Serve as a Lead EA - helping to grow and develop other EAs, and being the bridge between other Lead EAs and the EA team in GCC.
- Partner with other Assistants throughout the team and across the company
- Have fun at work-while juggling multiple fast-moving priorities, an ever-changing landscape, and significant ambiguity-and help others do the same!
